Jamestown Sklallam Tribe Clinic Support Team Member in Sequim, Washington

The Jamestown Family Health Clinic (JFHC) is seeking a dedicated Clinic Support Team Member to join our Admin Clinic team! In this full-time role (40 hours/week, Monday-Friday), you'll play a vital role in ensuring a smooth patient experience from scheduling to check-out. You'll also be responsible for managing patient information securely and confidentially according to HIPAA guidelines.

Essential Functions

  • Process medical record releases in and out of the JFHC

  • Scan and commit all clinic documents to charts

  • Review, sort, and forward incoming e-faxes to Care Teams

  • Process patient referrals for specialty care and tests

  • Track and follow-up referrals

  • Check-in patients arriving for appointments

  • Schedule patient appointments

  • Perform registration pre-visit work queues

  • Prepare and send Results Letters to patients

  • Take phone calls from patients and other medical providers

  • Answer questions and provide information according to JFHC policies

  • Communicate effectively and maintain good working relationships with all clinic staff

  • Keep the JFHC informed of changes in local health care impacting JFHC Providers and patients

  • Process prior authorizations needed for patient services and pharmacy

  • Register new patients in the Electronic Health Record system

  • Assist with JFHC projects, as director by Supervisor

  • Adhere to all JST policies and procedures, including but not limited to standards for safety, and work practices as described in the Occupational Exposure Control Plan and HIPAA

  • Perform additional duties as assigned

Requirements

  • High School Diploma or equivalent

  • Two (2) years of administrative experience

  • Minimum of one (1) year experience in a health care setting

  • Knowledge of basic medical terminology

  • Knowledge of types and names of common prescription medications

  • Knowledge of primary care services and the local health care system

  • Prior customer service experience

  • Computer proficiency in Microsoft Suite

  • Experience using common office machines including copiers, fax, and scanners

  • Exceptional interpersonal skills including effective verbal and written communication

  • Valid Washington State Drivers License

  • Must be able to successfully pass a criminal background investigation

  • Uphold all current vaccine requirements for employment

Preferred Qualifications

  • Associates degree

  • Previous experience with multi-line telephone systems

  • Knowledge of Local, State, and Federal Laws and Regulations

  • Knowledge of office administrative operations, including personnel management, and compliance

  • Excellent organization skills and the ability to prioritize multiple tasks

  • Effective time management, decision-making, and problem-solving skills

  • Demonstrate initiative, work independently with little supervision

  • American Indian/Alaska Native preferences apply
