UW Medicine IT Services Human Resources has an outstanding opportunity for a part-time, day shift, STUDENT ASSISTANT - HUMAN RESOURCES to provide administrative assistance for HR operations and initiatives within the team. The ideal candidate is a highly motivated individual with excellent communication skills and a strong interest in Human Resources.

PLEASE NOTE: The expected duration of this position is 6 months, from July to December 2024.

This position will also assist with general administrative duties, including filing personnel documents, assisting with developing and distributing correspondence, answering questions about policy and procedures related to HR, ITS Administration, UW Medicine, and the University of Washington.

RESPONSIBILITIES • Assist with ITS HR Initiatives to enhance employee engagement, including, but not limited to: o Uploading and updating content and layout for ITS HR’s SharePoint site. o Assist with sharing ITS’ Career Pathways program content on our SharePoint site. o Assist with the production of our monthly newsletter. o Employee recognition initiatives and event coordination and preparation. • Communicate with ITS leaders regarding their teams’ compliance with training and other requirements. • Assist with gathering requirements for assigned projects, organize the information, research, and report on industry best practices and solutions. • Assist with scheduling meetings, preparing meeting minutes, and developing documentation. • Assist with answering questions about policy and procedures for HR, Administration, the ITS department, UW Medicine, and the University of Washington. • Personnel filling: Ensure that documents are stored securely, depending on their type (hard copy vs. electronic). • Assist with developing and distributing correspondence. • Assist with Public Records Requests. • Assist with Recruiting and Selection activities. • Assist with Safety and Facilities activities. • Other duties as assigned.

REQUIREMENTSMust be a current student at the University of Washington (Summer 2024 enrollment in classes not required but must be registered for Fall Quarter). • Strong Microsoft Word, Outlook, PowerPoint, and Excel skills, with strong interest in learning and using technology that supports the ITS HR’s goal of sharing of information transparently and in user-friendly methods. • Excellent customer service and communication skills. • Concise and effective writing skills and attention to detail. • Solid organizational skills. • Ability to communicate with all levels of individuals, including management/leadership.

DESIRED EDUCATION, SKILLS, AND EXPERIENCE • Able to conduct effective research, cite resources, and build reports. • Proficiency in full Microsoft Office Suite, including SharePoint and Publisher (or other desktop publishing software). • Ability to work independently and efficiently with minimal supervision. • Proactive nature: Communicates promptly when in need of assistance or direction and actively seeks ways to contribute to the team when assigned tasks are completed.

ADDITIONAL INFORMATION • This position will require a minimum of 16 hours per week, with a maximum of 19.5 when school is in session. If the selected candidate is not registered for summer quarter classes, they will be expected to work between 30 and 40 hours per week. • Student Assistants are expected to work on weekdays between 8am and 5pm. • This position has a “Hybrid” schedule, which is mostly remote, but requires a regular on-site presence. • Our office is in downtown Seattle.
