The Team

The Information Technology's Strategy, Planning, and Management (SPM) team leads the design and implementation of the IT Strategy and delivery of CIO priorities across IT and the foundation. SPM is tasked with effectively leading, measuring, and governing IT portfolio management, project and program delivery, enterprise architecture, and human centered design relative to long term vision and roadmap.

Your Role

We are seeking a dynamic and detail-oriented IT Senior Coordinator to provide essential administrative and operational support to IT leadership and the department. This role will encompass a variety of tasks including event planning, project coordination, rhythm-of-business support, and managing complex calendaring.

The ideal candidate is a creative, thoughtful, and curious problem solver who acts as a trusted business partner. You will play a pivotal role in managing and coordinating high-visibility IT activities across diverse subject areas, engaging with team members at all levels. Your ability to navigate and bridge different areas of expertise with agility, efficiency, and diplomacy will be critical to your success in this fast-paced, dynamic environment.

This position is a limited-term position for 24 months. Relocation will not be provided.

What You’ll Do

  • Lead logistics and coordinate the overall planning for department and team events, various meetings of complexity and size, conferences, retreats, presentations, communications.

  • Maintain IT organizational chart accordingly including walking deck and other pertinent leadership artifacts.

  • Assist with records and data management including but not limited to management of the department SharePoint site.

  • Basic financial duties including expense, budget and invoice reconciliation.

  • May facilitate arrangements for extensive travel and complex logistics for both external and internal meetings, speaking engagements and conferences.

  • Coordinate conferences, forums, speaking engagement events.

  • Support coordination of department-wide training, act as primary contact for logistics, inventory, scheduling, and communication.

  • Manage calendar for CIO and partner with others on complex meeting scheduling, by proactively anticipating needs – such as agendas, resolving conflicts, weekly planning, presentation creation.

  • Provide thorough and detail-oriented planning and support to executive-level meetings and special events including logistics, materials, presentations, taking minutes and follow-up on action items.

  • Manage relationships and partnerships with leadership team, executive staff, vendors, and other key contacts, ensuring timely follow-up and scheduling.

  • Internal communication, including written communications at various audience levels.

  • Lead, develop and work with team members on department special projects, as requested.

Your Experience

  • Must be organized, detail-oriented and have experience in event and project coordination.

  • Ability to triage, manage and prioritize tasks and deadlines.

  • Demonstrated ability to work in a team environment and meet goals in a timely manner.

  • Expertise in complex calendar management and scheduling on the executive-level.

  • Ability to multi-task, work independently, prioritize effectively, plan ahead, problem-solve and meet goals with quality delivery.

  • Excellent written and verbal communication skills..

  • Expertise in ability to handle confidential and sensitive information with a high degree of discretion, judgement, and professionalism

  • Proven ability to analyze data, develop and implement operational efficiencies.

  • Excellent organizational and meticulous skills, ability to resolve problems professionally and efficiently and to work with all levels of management and external vendors.

  • Strong collaboration and partnership building skills.

  • Advanced proficiency in Microsoft Office Suite.

  • Bachelor’s degree.

  • 7+ years equivalent working experience.

Must be able to legally work in the country where this position is located without visa sponsorship.

We recognize high-wage market differences in Seattle and Washington D.C., where our offices are located. The range for this role in these locations is $49.15 to $73.73 USD. As a mission-driven organization, we strive to balance competitive pay with our mission. New hires salaries are typically between the range minimum and the salary range midpoint. Actual placement in the range will depend on a candidate’s job-related skills, experience, and expertise, as evaluated during the interview process.
