POSITION PURPOSE

The Division of Nephrology in the Department of Medicine has a long-standing history of caring for kidney patients through innovation and excellence in clinical care, research and education. The division will be launching a new training program funded by the National Institute of Diabetes and Digestive and Kidney Diseases (NIDDK), entitled the Northwest Comprehensive Research Training in Kidney, Urologic, and Hematologic Sciences (NCOR-KUH). This is a unique, new interdisciplinary training program for pre- and post-doctoral trainees across five institutions. The purpose of this program is to cultivate a highly integrated cohort of trainees and early career investigators and to develop career development resources to accelerate kidney, urologic, and hematologic research. This grant is a $9.3 million, 5-year award, that will be coordinated across the Division of Nephrology and Division of Hematology (both in Department of Medicine), the Department of Pediatrics, and the Department of Urology. The vision of the program is to train the next generation of kidney, urology and hematology (KUH) scientists who will drive scientific innovation to improve the lives of patients with KUH diseases. To realize this vision, the mission of the program is to create an integrated KUH scientific environment across five institutions (University of Washington, Fred Hutchinson Cancer Center, Seattle Children’s Hospital, VA Puget Sound Health Care System, and Bloodworks Northwest) to furnish trainees with world-class hands-on research training, mentorship, education, and networking to foster their personal and professional development. This training program is comprised of an Administrative, Network, Professional Development (collectively the U2C grant award) and Training Core (the TL1 grant award).

The Division of Nephrology has an excellent opportunity for a Program Manager (PM) to join their mission-focused, collaborative team. This position will oversee all administrative and programmatic aspects of this new training program, serving as a primary contact for day-to-day operations.

POSITION COMPLEXITIES

The Program Manager position is a full-time position based at the UW in Seattle, WA but will interface with Fred Hutchinson Cancer Center, Seattle Children’s Hospital, the VA Puget Sound Health Care System, and Bloodworks Northwest. This individual will serve as a primary point of contact with the NIDDK. The Program Manager plays a key role in interacting with investigators and professional staff at these five institutions and ensuring full participation in order to meet the aims of each core. Core competencies for this position include excellent communication and management skills, organizational and problem-solving skills, exceptional attention to detail, and knowledge of health care systems and education programs.

POSITION DIMENSION AND IMPACT TO THE UNIVERSITY

This is a critical leadership position that supports all administrative and programmatic aspects of the NCOR-KUH, furthering the educational and research missions within the Division of Nephrology. The Program Manager serves as a liaison and senior manager to the Administrator, Grants and Contracts Manager, Co-Directors and Co-leaders providing financial analysis and oversight, operations management and strategic process improvement recommendations. This role also partners with the co-directors and core leaders to manage trainee appointments, manage academic events, lead meetings and seminars, manage websites, the virtual platform, and coordinate information dissemination. The program manager will also collaborate with the grants managers to administer subcontracts, provide financial oversight and tracking, ensure compliance with the award, and prepare and submit NIDDK progress reports. This position promotes and ensures the regulatory and fiscal accountability of the NCOR-KUH program with respect to the University of Washington, state guidelines, and NIH policy. Overall, this position provides a wonderful opportunity to enhance and support the training of nephrology, urology, and hematology fellows who will make long lasting contributions to academic medicine.

DUTIES AND RESPONSIBILITIES

Duties of the Program Manager (PM) include but are not limited to: 30% Program Operations • The PM will serve as the primary point of contact for the training program across institutions, specialties, and cores of the training program. • The PM will develop and implement project management tools to track milestones and maintain accountability and visibility for all internal and NIDDK-driven deadlines. • The PM will manage and coordinate all outreach programs for high school, college, and graduate students, coordinating activities between the participating five sites and other institutions. • The PM will oversee day-to-day operations of the program, which includes responding to inquiries from trainees, monitoring or reporting on finances, addressing facilities/operations questions, and partnering with faculty leadership to ensure ongoing projects and meetings are complete according to schedule. • The PM will assess, oversee and delegate space, equipment, and resource allocation based on the grant budget. • Other duties as assigned

25% Trainee and Mentor Management
• The PM will manage the full life cycle of trainees including recruitment, onboarding/offboarding, credentialing, and orientation. • The PM will work with the Co-Directors and fellowship program administrators to develop and manage recruitment efforts including collaboration with co-directors to advertise positions, collate applications, disseminate applications to reviewers, and develop coursework. We anticipate this training grant program will support 6 postdoctoral and 3 predoctoral researchers across all sub-specialties, therefore requiring a competitive application and review process. • The PM will coordinate the mentor training program, a longitudinal course offered to 60+ mentors participating across the Seattle sites, to ensure all trainees receive supportive mentorship.

15% Program evaluation management • The PM will collaborate with evaluation experts in the UW Office of Educational Assessments to create and collect assessment data for the overall program, the separate cores, and mentor evaluations. • The PM will oversee integration of evaluations into the overall program, under the umbrella guidance of NIH, NIDDK, and NCOR-KUH guidelines. The PM will collaborate with Core Administrators, Co-Investigators and Program Directors in the development and implementation of program changes in response to evaluation data. • The PM will summarize and disseminate evaluation data to program co-directors and core leaders across all 5 institutions via written and verbal reporting.

15% Grants and contracts operations management • The PM will collaborate with the U2C and grants and contracts managers in Nephrology to initiate and manage subcontracts to Seattle Children’s Hospital and Bloodworks Northwest, oversee all procurement related to the program, maintain financial oversight of all transactions, and provide regular monthly and quarterly budget reports to co-directors and core leaders ($770K annually). • The PM will work closely with the grants/administrative team in the Department of Urology to manage the trainee appointments through NIH’s platform, XTrain, and monitor stipend payments and other expenses that are part of the training grant budget. Additionally, they will partner to manage trainee data tables, the TL1 progress report, and the remaining financial transactions related to the TL1 training program ($1.1 million annually). • The PM will collaborate with the Nephrology Division Administrator to manage and oversee all institutional commitments supporting the training program. The Division of Nephrology and other divisions and departments participating in this program have committed additional financial resources to support the success of this program. • The PM will serve as primary point of contact for the U2C progress reports and all related communication for submission to NIH/NIDDK, further responsible for coordinating and preparing the submission. The PM will work collaboratively with the co-directors and core leaders to complete all scientific, administrative, and financial reporting components. This is a complex report, likely a 300+ page annual report. • The PM will be knowledgeable of UW, Washington state, and NIH/federal policies to ensure grant expenditures and reporting are compliant with requirements.

10% Communication and Engagement • The PM will partner with staff at the Institute of Translational Health Sciences (ITHS) to design and develop a digital platform and then provide ongoing oversight of website development and maintenance. • The PM will manage and oversee social media accounts for NCOR-KUH, collecting input from trainees and all program stakeholders on regular social media content. • The PM will field and respond to all website, email, and social media inquiries and develop overall vision for marketing and development strategies for the website and all other program materials. This involves collaboration with graphic designers, web developers, photographers, design firms and other communications/technical professionals.

5% Events Management • The PM will plan and organize all events for NCOR-KUH, including research symposia, retreats, and community events. • The PM will manage NCOR-KUH’s participation in the annual NIDDK U2C-TL1 meeting and serve as the primary event organizer when the University of Washington hosts the annual meeting for the entire NIDDK U2C-TL1 network. The annual meeting includes 15 U2C-TL1 programs from around the country and will require participation from approximately 75 stakeholders

Lead Responsibilities: Under the direction of the Program Co-Directors, the PM will independently lead all operational and administrative aspects of NCOR-KUH.

The PM will be responsible for coordinating the mentor training program, a longitudinal course offered to 60+ mentors across the Seattle, WA participating sites, to ensure mentors can successfully support trainees. In addition to mentor training, the PM will liaise with the UW Office of Research and Graduate Education and the Center for the Improvement of Mentored Experiences in Research (CIMER) to ensure access to ongoing resources.

The PM will collaborate with internal and external partners, stakeholders (e.g. faculty members, community leaders) and trainees (pre and postdoctoral fellows). Engagement through community outreach events with high schools, undergraduate programs, and graduate programs is critical to help build an interest in pursuing a career in KUH sciences. The PM will represent the training program and the University of Washington at these events.

The PM will maintain direct communication with key stakeholders, collaborators, co-directors, and external partners.

Supervisory Responsibilities None. The Program Manager is a senior staff member and may act as a mentor and resource to other staff (e.g. grants manager, administrative specialist) who interact with this training program.

MINIMUM REQUIREMENTS

Bachelors degree in Social Sciences, Communication, Education, Healthcare, or related discipline Minimum of 3 years of project and/or program management in healthcare, research, science, or education.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

• Experience with planning and leading large scale meetings across multiple platforms (Eg. Virtuall in person, hybrid, etc.) • Experience in website design and maintenance and/or ability to build upon baseline level web design skills. • Effective and efficient communicator; excellent verbal and written communication. • Excellent organization skills with strong attention to detail, problem solving skills, resourcefulness and flexibility to adjust to dynamic work situations. • Advanced skills with Microsoft Office Suite products – primarily Excel, Word, PowerPoint, Outlook. • Track record of success managing lifecycle of projects or programs across teams. • Customer-service orientation, ability to demonstrate initiative and responsiveness. • Self-starter with the ability to work independently, exercise good judgment, and make decisions as necessary. • Strong collaborative and leadership skills, team oriented, and consultative. • Demonstrated ability to work well under competing deadlines.

DESIRED QUALIFICATIONS

• 4-5 years of project and/or program management in healthcare, research, science, or education. • Master’s or doctoral level degree or certificate/coursework in project management. • Familiarity with UW systems and software programs, most notably Workday. • Experience in grant and contract management in an academic, research, non-profit, or hospital setting. • Prior experience overseeing clinical research, translational, and/or basic science training programs. • Prior experience designing, leading, and/or implementing process improvement initiatives.

CONDITITONS OF EMPLOYMENT

• This is a full-time position that will require flexible work hours outside of standard operational hours to meet programmatic deadlines. This position is eligible for hybrid work with the expectation of 2 to 3 days per week in office.
