The Dean of Medicine’s Office of Academic Appointments and Compensation (AAC) is seeking an Interfolio Advisor and Reporting Specialist (Advisor) to help implement and sustain various academic faculty human resource programs at the School’s level and support said programs within the UW School of Medicine’s (SoM) 32 academic departments. Reporting to the Senior Analyst and Reporting Manager, the successful candidate will be the subject matter expert providing technical support and best practices, while leading and training users on the Interfolio Faculty 180 module as well as developing future processes within the tool.

The Advisor has substantial responsibility for managing/controlling the operations of the programs assigned and will be accountable for system outcomes, upkeep and communicating product changes. This position involves interactions at a highly professional level and requires understanding of the academic life cycle.

This position is responsible for consulting with and educating a diverse group of clients/users and supporting the mission of the school. The Advisor utilizes knowledge of academic appointments and compensation and project management skills to recommend and implement policies and procedures for programs.

The Faculty 180 module will require engagement from several subject matter experts thereby requiring critical communication throughout the full software implementation and on-going support life cycles. While Faculty 180 is the primary responsibility, overarching technical support for other modules of interfolio is required.

This position requires excellent communication skills within the University of Washington as well as with affiliated institutions or vendors with whom the unit interacts. As an Advisor, the incumbent must possess attention to detail, demonstrate consistent and accurate work habits and have strong problem-solving skills. This position requires a high degree of diplomacy, awareness, and leadership skills to manage changes and implement innovative solutions. The Advisor will have academic HR skills to support other unit processes as needed.

In tandem with the Interfolio activities, this position will have a critical role supporting AAC’s reporting responsibilities. This position in partnership with the Senior Analyst and Reporting Manager will engage in a variety of reporting activities from Workday and SoM-specific resources. SoM leadership and academic departments rely on AAC to provide timely, accurate data in response to annual surveys and ad-hoc reporting requests throughout the academic year.

These responsibilities, in addition to being flexible and responsive to change, are critical to the integrity and success of the various programs managed by this position.

DUTIES AND RESPONSIBILITIES Interfolio Advisor (45%): • Lead and advise in the management of the Faculty 180 module in Interfolio for the School of Medicine. • Act as Liaison between the SoM and Interfolio to build the Faculty 180 Interfolio product. • Using project management skills, set-up, and coordinate meetings, implement software, and work in close collaboration with Interfolio staff and the SOM departments. • Subject matter expert providing guidance, user support, leading, and training on Faculty 180. Create user guides, documentation, and presentations. Training activities will require presenting information and teaching in-person or remotely. • Work collaboratively with Dean of Medicine IT on identifying data to load into Faculty 180 and be responsible for ensuring data integrity and that the data sources are appropriately loaded into the tool. • Point person for troubleshooting issues across the SoM, within the University, and externally with Interfolio and other representatives for all three Interfolio modules currently being used (Faculty Search, Review, Promotion, Tenure (RPT) and Faculty 180). • Provide some overarching technical support for other modules of Interfolio, such as submitting product enhancements and being the primary SoM Interfolio point of contact. Additionally, provide user access management for all Interfolio modules (Faculty Search, Review, Promotion, Tenure (RPT) and Faculty 180).

Academic HR Reporting (45%): • Manage various aspects of faculty compensation and personnel actions and reporting. • Support the Data and Systems Manager with the annual merit review and unit adjustment process. • Extract data from multiple data sources and use various Excel skills to execute tasks, in support of ad-hoc reporting requests and Workday reporting on AAC activities. Some examples include: o Providing reporting support for AAC staff, Dean’s Office units and academic departments as requested (e.g., faculty counts, postdoctoral scholar data for Research and Graduate Education, etc.). o Annually updating reduced responsibility reporting for the Associate Dean for Academic Affairs and Medical Staff Affairs. o Completion of different annual reports, including AFQ (Annual Financial Questionnaire) data for SOM Finance. o Annually collecting data and preparing an AAC Fact Sheet that captures the work completed by the unit during each academic year. • Identify and recommend solutions to any academic personnel issue within their areas of responsibility. Create and distribute process-related communications as required.

Continuous Process Improvement and Other Duties as assigned (10%): • Participate in Continuous Process Improvement (CPI) projects in Academic Appointments and Compensation or as required within the School of Medicine. The position will help develop a culture of CPI and accountability within the unit. • Participate in AAC application testing. • Complete special projects for the Associate Dean, Director and other executive leadership as needed. • Perform other duties or projects as required or assigned.

MINIMUM REQUIREMENTS • Bachelor’s degree in Human Resources Management, Business Administration, or related field and at least 3 years or previous experience in project management, program operations and/or business analysis.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. Additional Requirements: • Professional demeanor and the ability to interact effectively with individuals of diverse backgrounds and at all levels of an organization and the community. • Strong customer service skills with ability to maintain a positive attitude. • Ability to thrive while working with a high volume of work and critical, time sensitive deadlines. • Ability to interpret and apply complex state or public agency policies and procedures. • Management of academic human resources processes, including faculty compensation and human resources management. • Ability to interpret multi¬source financial data. • Excellent written and verbal communication skills, and strong interpersonal skills; ability to maintain a calm demeanor under pressure and communicate effectively at all levels within an organization. • Ability to handle sensitive and confidential information with tact, discretion, diplomacy and maintain strict confidentiality. • Detail oriented with ability to identify issues and trends and correct errors, typos, or discrepancies. • Proficiency with various computer programs and databases, including Microsoft Word, Excel, Access, and PowerPoint. • Possesses a fluent understanding of and experience in and commitment to inclusive language, accessibility and diversity, equity, and inclusion considerations. DESIRED REQUIREMENTS • Working knowledge of UW SoM compensation structure including institutional compensation policies/procedures. • Working knowledge of Health Sciences colleges and departments and systems. • Understanding of SoM academic processes. • Experience in a university setting.
