The UW Libraries & Press has an outstanding full time opportunity for a Human Resources Coordinator.

This position oversees day-to-day functions related to recruitment and hiring of student employees and classified staff, audits timesheets and time off tracking, and provides additional support for the Libraries & Press Human Resources and Organizational Development and Inclusion (ODI) portfolio. This position reports to the Assistant Director, Libraries & Press HR.

DUTIES AND RESPONSIBILITIES Workday Records Management

  • Responsible for initiating HR-related actions in Workday for non-academic staff including but not limited to: employee information changes, hire details, job changes and terminations

  • Assists with the onboarding process and completion of payroll documents for newly hired employees.

  • As the Time & Absence Initiate for the UW Libraries, responsible for tracking the timely completion of timesheets, making corrections to timesheets and time off requests, and auditing holiday and absence requests.Student employee recruitment and hiring.

  • Reviews supervisor requests for student employment job openings; posts openings and updates application upload site.

  • Answers questions regarding student hiring from students and library supervisors and leads.Additional HR support

  • Maintains organizational charts for the Libraries & Press.

  • Acts as point person for questions from staff in Libraries & Press units.

  • Maintain records and serve as point person for HR related records retention questions.

  • Maintains the Staff Service Award program for librarians. Forwards award notifications to employees and supervisors; orders and delivers awards; maintains award and Dean’s recognition correspondence and records. Local contact for Service Award questions for all staff.

  • Maintains the Peer-to-Peer Recognition Program for all Libraries staff, including notifications, preparing cards for staff, and tracking budget spending.

  • Assist the Assistant Director, Libraries & Press HR in the recruitment process for non-academic personnel, including review of interview questions and rubrics, scheduling, and communications with applicants.

  • Responds to staff and student inquiries that may involve HR policies and procedures.

  • Supports HR efforts by preparing documents, creating presentations, validating data, and providing basic instructions to customers.

  • Assists in developing new programs and services as they relate to Human Resources.

  • Reviews employment processes and recommends revisions to enhance efficiency of operations; assists in implementing changes to effect continual improvement in services provided; and complies with regulatory and legal requirements.

  • Maintains HR information on the Libraries intraweb site.

  • Maintains accurate and up-to-date files for the HR department.

  • Generates reports and data requests for Libraries’ Administration and customers, as needed.

  • Other responsibilities in support of the HR department and ODI portfolio goals.

  • Audits payroll expenditures and shared leave budget transfers for central Libraries cost centers

  • Monitors I-9 completion statusGeneral responsibilities and additional duties

  • May contribute to reception coverage for the Office of the Dean and Libraries Administration. Greet visitors and answer telephones; respond to patron requests by referring calls, requests and individuals to the appropriate person or office or relaying messages.

  • May direct the work of student employees.

  • Responsible for weekly editing and publishing of the Libraries & Press staff newsletter.

  • As scheduling allows and in consultation with the supervisor, take classes, workshops, training as needed to learn Libraries and University procedures and use of relevant tools.

  • Understands and abides by the Libraries Communication Responsibilities. Communicates appropriately, effectively and positively. Plays an active role in staying informed and participating in Libraries and unit meetings, activities and events.

  • Other duties as assigned. MINIMUM REQUIREMENTS

  • High School diploma or GED certificate and two years of office/clerical experience including at least six months of experience in a human resources or related setting OR equivalent education/experience. ADDITIONAL REQUIREMENTS

  • Competency in time management, organization, and multi-tasking in a fast-paced environment.

  • Proficiency in Microsoft Office products (especially Word, Access, and Excel)

  • Ability to adapt to software changes and learn new software applications and functions.

  • Extremely detail oriented.

  • Ability to contribute positively to a team atmosphere and interact professionally with all internal/external customers. DESIRED QUALIFICATIONS

  • Familiarity with University of Washington resources, systems, policies, and procedures.

  • Familiarity with Workday Human Resources software.
