Are you a detail-oriented professional with a knack for financial analysis and contract management? The Department of Neurology at the University of Washington is seeking a dynamic Data and Contracts Specialist. This pivotal role involves performing detailed data and financial analyses, managing non-research agreements, and ensuring seamless contract execution across a diverse portfolio, including clinical services and professional sports organizations. You'll develop and implement policies, conduct systematic evaluations, and collaborate with internal departments and external stakeholders, directly impacting UW Medicine, hospitals in the WWAMI region, and professional sports organizations.

Data and Financial Analysis (60%)

  • Prepare and analyze clinical budgets and processes, assess resource needs, and implement annual budgets in collaboration with the Associate Director of Clinical Finances and the Vice Chair-Administration and Finance. This includes regular budget reviews and updates with Division Chiefs and faculty.

  • Monitor and report on Clinical Full-Time Equivalents (CFTE) and productivity metrics for faculty, support semi-annual incentive distributions, and ensure compliance with guidelines.

  • Prepare and distribute each department’s clinical dashboards, and respond to questions from individual faculty and medical directors.

  • Develop financial pro formas, manage off-cycle requests, and create business cases for faculty recruitment and retention, integrating financial details into offer letters and departmental financial tools.

  • Provide expertise in hospital budget methodology, support hospital support negotiations, manage agreements to ensure proper fund allocation, and align with departmental goals.

  • Develop and manage financial reporting systems, track and analyze clinical program performance, communicate financial trends to leadership, and manage the annual true-up process for various clinical entities.

  • Collaborate with UWP and CUMG practice plans and clinical operations to address revenue cycle challenges, optimize financial outcomes, and recommend revenue enhancement strategies.

  • Support QGenda scheduling and serve as the internal subject matter expert on scheduling protocols, implementation, and resolving all faculty questions. Contract Management (30%)

  • Review and manage a variety of non-research contracts, including goods and services agreements, clinical consulting agreements, and data use agreements. Oversee agreement renewals, amendments, and manage the invoicing process.

  • Finalize contracts and operationalize them effectively by developing internal processes, coordinating with UW Medicine partners and external clinics, and ensuring compliance with quality standards.

  • Implement best practices to optimize operational processes based on performance data and feedback, ensuring all contracts adhere to comprehensive documentation and specialized procedures.

  • Ensure adherence to institutional, departmental, and external policies and regulations, including obtaining necessary approvals and facilitating credentialing for telemedicine and other services.

  • Collaborate with department leadership and relevant offices on matters of privacy and compliance, particularly concerning EU GDPR regulations.

  • Develop and maintain department standards, policies, and procedures for contract management, aligning with financial targets and School of Medicine policies.

  • Communicate contract terms to relevant internal teams for effective coordination.

  • Obtain UW Medicine Site of Practice approvals for all faculty as necessary.

  • Facilitate credentialing applications and renewals for telemedicine services and other necessary services, coordinating with medical staff, hospital administrations, and telemedicine providers. Project Management and Other Duties (10%)

  • Develop and maintain a central repository for each department as well as a tracking system for contract renewal. Regularly audit repository documents to ensure compliant practices, financial and resource sustainability.

  • Develop standard operating procedures and best practices for contract management and information collection. Develop intake forms and other tools to foster excellent customer service and communication among all stakeholders.

  • Direct all communication, timelines, and processes to ensure all documentation is submitted timely for each contract/project.

  • Perform other responsibilities and projects/duties as assigned in the Department of Neurological Surgery and assist during high volume times. MINIMUM REQUIREMENTS

  • Bachelor's Degree in Business, Healthcare Management, or related field

  • Two to threes years in a similar role or field. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Proficiency in Microsoft Office applications (Access, Excel, PowerPoint, etc.), multiple report writers, and databases.

  • Advanced understanding of financial and clinical information systems and decision support systems.

  • Advanced knowledge of operational, financial, and/or clinical performance improvement methods; familiarity with medical terminology, ICD10/CPT4 coding, and regulatory requirements.

  • Ability to interpret financial information and data and formulate recommendations.

  • Expert analytical and business consultation skills.

  • Ability to prepare complex financial analyses and interpretations with a high degree of accuracy.

  • Demonstrated experience successfully handling multiple projects with critical deadlines.

  • Exceptional interpersonal, written, and verbal communication skills.

  • Excellent critical thinking, decision-making, and problem-solving skills.

  • Ability to work independently with minimal supervision DESIRED QUALIFICATIONS

  • Familiarity with UW systems or another academic environment.

  • 1-2 years of experience in contract or project management, preferably in healthcare.
