JLL Assistant Program Manager - Operations in Seattle, Washington

What this job involves In collaboration with the JLL Regional Facilities Manager, support tracking of all JLL facilities management deliverables across all levels of the facilities management program. Communicates portfolio issues and deadlines to Regional Facilities Manager and Senior Facilities Managers (SFMs) before critical status. Own administration associated with business-as-usual functions, considering but not limited to: Org chart adjustments, document storage management, FM platforms such as Quip and Workdocs, meeting invitations, and Smartsheet creation and management. Support Regional Facilities Manager with initiatives and events to drive a team culture, including owning reminders and relevant team information. Communicate with Facility Managers for all applicable maintenance, service, and operational items as directed. Coordinate, organize content, and put together presentations for team meetings including the FM Monthly. Attend, participate and take notes in meetings including GREF meetings (as appropriate, and directed by Regional Facilities Manager). Confirm notes are reviewed by relevant stakeholders and support tracking of action items. Comply with all company and regional policies for both JLL and the client. Draft and deliver regional team communications. Act as main point of contact for sub-regional FM team(s), in regards to team tools, resources, and gathering site information/audits. Provide central support to sub-regional FM team(s), as necessary. (May include: admin tasks, site launch/ expansion assistance, and more). Own and maintain several tools/resources, including the Training Checklist, Plan to Progress, Rhythm of Business, Site Portfolio Matrix, and other regional resources. Send meeting invites on behalf of SFMs and Regional Facilities Manager. Prepare expense reports respective to FM platform management where applicable. Use tools such as Corrigo, Visio, Smartsheet, Quip, and Microsoft Office to build appropriate tools for supporting FM Deliverables and Goals, including proactive templates. Contact pre-screened candidates and coordinate interview scheduling for regional hiring managers. Pull, clean, and review data for recurring and one-off initiatives for the SFM team and area level dashboards. Intake area level projects for RFM review and delegation.
