Expeditors Administrator (Contracts) - Office of Strategy Management in Seattle, Washington

Expeditors 3rd Party Systems and Services (3PSS) team supports our company's technology needs by strategically sourcing third party products and services. As part of the Information Services (IS) Department, the 3PSS team is closely aligned with Expeditors IT operations, but also works closely with legal, privacy, and other teams and departments critical to procurement functions.

The IS Department is 3PSS largest customer, but the team regularly supports Expeditors Products and Services from around the world looking to procure technology systems and services. From software-as-a-service (SaaS) to hardware to enterprise solutions, 3PSS supports all types of technology related purchasing.

3PSS works with IS and business partners to plan procurement strategy, organize and manage the procurement process (request for proposal, selection, contract negotiation, etc.), ensure price and schedule objectives are met, and manage engagement with other reviewing parties, including legal, cybersecurity, privacy, and artificial intelligence. The ability to communicate clearly with technical and business representatives as well as external suppliers, and provide a high level of customer service to internal and external parties, are essential traits for success in this position.

Responsibilities include:

  • For selected procurement projects, leads teams of individuals from relevant departments through the stages of the source selection process, culminating in a final contract and obtaining all required approvals for execution.

  • Functions as a liaison with business partners (Business Owners, Tax, Legal, and Executives) on Agreements and procurement projects impacting information needs, data, systems, contracts, policies and procedures.

  • Engage with vendors on request for proposal and/or single-source procurements on contract scope, terms and conditions, pricing, supporting documentation (privacy, cybersecurity, etc.), and all other elements required for selecting a vendor and finalizing a contract.

  • Acts as a liaison with business partners (Business Owners, Tax, Legal and Executives) on Agreements and special projects impacting information needs, data, systems, contracts, policies and procedures.

  • Leads / Supports the development of procurement related management reporting.

  • Works closely with other members of the 3PSS team to manage procurement backlog and share procurement project progress.

  • Provides high-level of customer service to all levels of the organization, from IS teams up to and including senior executives.

  • Engages effectively with the IT Purchasing group, to ensure seamless management of financial approvals and invoicing. 

  • Assists in development and maintenance of contracts documentation, for accurate tracking, history, and audit purposes.

  • Supports the communication of department guidelines, initiatives and achievements through presentations and status reporting.

This position is on-site and will reside in the greater Seattle, WA. area at one of the following locations depending on availability. Candidates must be local or willing to relocate. Relocation assistance is not offered for this position.

MINIMUM QUALIFICATIONS

  • Experience in software licensing and professional services contracts, standardized procurement processes and negotiations, changes to statements of work, including the review of Supplier service levels and costs to ensure alignment with contract terms.

  • Experience following a standard procurement lifecycle, including: conducting a request for proposal, evaluating vendor proposals, marking-up contract documents to meet company terms and conditions, negotiating pricing and specific terms, closing contracts and following internal procedures for contract approval and signing.

  • Ability to manage multiple procurement projects at once, juggling competing priorities effectively while maintaining positive working relationships with business partners.

  • Ability to interpret and explain contracts, their terms and their implications

  • Experienced with Supplier scorecards and defining key performance indicators.

  • Some experience with improving and streamlining procurement processes.

  • Uphold Expeditors culture, as a representative of the company to business owners and outside vendors

  • Excellent written and verbal communication skills, time management and organizational skills

  • Experience and proficiency with Microsoft tools including SharePoint, OneNote and Office; experience with Azure DevOps a plus.

DESIRED QUALIFICATIONS

  • Passion for contracts work, with proven track record of effectively managing sourcing projects, from small vendor renewals to large enterprise deals.

  • 8+ years of experience in software licensing and professional services contracts.

  • Experience in defining and improving acquisition strategies and overall procurement processes, including: develop a category or provider specific procurement strategy, improving customer service levels through provider consolidation, B2B implementation, new pricing models and/or recommended tools and procurement process improvements.

  • Experience implementing and using Contract Lifecycle Management (CLM) tools.

Expected base salary:  $80,000 to $140,000
