The Surgical Service Business and Operations Manager will provide comprehensive support and direction to ensure proper functioning of the Surgical Service Lines. The manager will coordinate activities within the service line quality and administrative team to collect, validate, organize, and analyze healthcare data from multiple sources and assists in the interpretation of charts, graphs, tables, and dashboards. Makes correlations with the purpose of helping department leadership to drive strategic decision making, support business intelligence, enhance operational excellence and quality improvement initiatives.

Responsibilities include coordination of other responsibilities including (but not limited to) the ability to perform various tasks simultaneously, possess working knowledge of contractual agreements; reviews accounts payable/receivable and day to day financial management of the service line; assist in flow and management of inventory control; assist in the integration of new/updated policies/procedures/protocols; develop and implement performance improvement plans; facilitate cross-departmental activities; working member of the team, and assist with clerical responsibilities as needed to maintain business, financial & operational flow.

EDUCATION AND EXPERIENCE REQUIREMENTS:

Education: Bachelor’s degree in health services management. Masters preferred.

Experience: A minimum of three years in healthcare setting. Knowledge of surgical services operations, including but not limited to scheduling, process mapping, project management workflow design and Peri-op software skills. The Business Manager will continue education through networking and/or mentoring opportunities.

  • Bachelor’s degree required. Master’s Degree preferred.

  • A minimum of one to three years’ experience in an office related position in a healthcare setting

  • Experience with employee supervision and management, quality/program metrics, data analysis/extraction/submission, & daily healthcare operations.

  • Track record of effective interaction with leadership, physicians, advanced practice providers (APPs), staff and other hospital departments.

  • Excellent communication skills, a positive attitude, good organizational skills and the ability to maintain both patient and staff confidentiality.

  • Skilled in exercising initiative, judgment, problem-solving and decision-making.

  • Must demonstrate exceptional interpersonal and communication skills, strong

    organizational skills, proficiency in office software applications, thorough understanding of medical terminology, insurances, medical billing and coding.

  • Knowledge of Regulatory Requirements (i.e., DOH, CMS) related to quality is s essential.

  • Certification in Healthcare Quality Management (CPHQ) desirable.

PHYSICAL REQUIREMENTS:

The positio n is located indoors under normal working conditions. Should be able to push/pull 50 lb., lift/move 25 lb. from floor to overhead, be able to perform moderately difficult manual manipulations such as using a keyboard, writing, and filing for extended periods of time, must be able to perform tasks which require hand-eye coordination such as data entry, tattooing field marks, typing and using photo copiers. Mobility requirements may include the ability to sit at a computer terminal or workstation for a prolonged period. in addition to being able to squat, stand and walk for a reasonable length of time and distance. Sensory requirements include the ability to articulate and comprehend the spoken English language in addition to being able to read the English language.

WORKING CONDITIONS:

Exposure to certain hazards involved, such as blood and body fluids, chemical agents, medications, and radiation. Knowledge of material safety data sheets and hazard drug list required.

RESPONSIBILITIES OF THE POSITION:

  • Direct oversight of data collection processes

  • Oversee and assists in the collection, analysis, and interpretation of healthcare data (ambulatory, inpatient, billing, etc.); coordinating with appropriate team member(s) to develop quality of care measurements and tools.

  • Identify trends and patterns of practice.

  • Develops and maintains collaborative relationships with an open line of communication with Physicians, Leadership, and staff.

  • Evaluate the quality of data submitted by health care providers and other entities utilizing database management tools (e.g. Excel, Pivot Tables, Access, Sequel).

  • Effectively communicate the results of data quality analyses to data submitters.

  • Collaborate with data submitters to resolve data quality issues.

  • Prepare analytic reports and evaluate results of healthcare quality analysis

  • Develops and implements data collection systems and other strategies that optimize data quality.

  • Filters and “cleans” data, and reviews computer reports, printouts, and performance indicators to locate and correct code problems.

  • Organize databases, transform, prepare data for subsequent data processing, statistical analysis, and display.

  • Assists in the creation, development, and updating of organizational policies related to service line.

  • Develop data solutions that can be made reusable, automated, and standardized for data.

  • Maintains awareness of professional issues, standards and regulations at the local, state and federal level that would have an impact on procedures and processes utilized in all areas of management.

  • Provides quality management support by establishing metrics with perioperative leadership team that reflect and measure improvements within the department e.g., (First Case on Time Start (FCOT), turnover time, OR utilization, block management).

  • Serves as the project management leader of the department.

  • Collaborates with the leadership team to onboard new physicians.

  • Participates in negotiation and implementation and compliance process.

  • Reviews purchase requisitions and ensure orders are needed based on usage

  • Ensures reasonable control and identification of vendors while in the surgical/procedural areas. Primary contact for vendors responding to physician requests for new products, devices, and equipment and collaborates with director.

  • Considers requests for new products, devices, and equipment as a member of the interdisciplinary Value Analysis Team (VAT).

  • Ensures that departments and vendors comply with organizational policies related to the acquisition/adoption of new products, devices, and equipment.

  • Considers the mission, vision, and goals of the organization when making financial decisions.

  • Support Clinical Managers, Specialty Coordinators, and Supervisors.

  • Conducts other projects as assigned by Director of perioperative services.

  • Responsible for management and retrieval of perioperative data and presents to Surgical Services Executive Committee.

  • Contributes to the annual comprehensive review and report development of service line quality to senior administration.

  • Consults with department leaders in the process of planning, developing and creation of capital budget & annual departmental operating budget

  • Adheres to hospital policies and procedures related to:

    Mandatory education

    Annual health assessment.

    Salary Range: $33.71-$50.56/hour Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
