Robert Half Accounts Payable Specialist in Schenectady, New York

Description

We are offering a contract to hire employment opportunity for an Accounts Payable Specialist for our client based in Schenectady, New York. The successful candidate will be part of a dynamic team, working within the corporate accounting department. The role involves handling various tasks to ensure smooth and efficient operations, including processing customer applications, maintaining customer records, and resolving inquiries.

Key Responsibilities:

  • Match vendor invoices with receivers and purchase orders.

  • Obtain proper approvals, enter invoices, scan, and file documentation.

  • Reconcile and code corporate credit card purchases monthly.

  • Verify payment details and make credit card payments for assigned vendors.

  • Process check requests and vendor payments via Check, ACH, EFT, and Credit Cards.

  • Respond to vendor inquiries and perform monthly vendor statement reconciliations.

  • Maintain A/P files systematically, including W-9s and Form 1099 for subcontractors.

  • Perform vendor maintenance and follow up on payment statuses to resolve any discrepancies.

  • Assist in reviewing and adjusting A/P entries for accurate expense categorization.

  • Post payments and adjustments to customer accounts.

  • Perform journal entries under the guidance of senior staff.

  • Maintain thorough and accurate documentation in accordance with company policies and accounting practices.

  • Complete special projects and ad-hoc reporting as needed.

  • Handle phone and reception tasks as required.

    Requirements

Qualifications:

  • Minimum Experience: 2 years in Accounts Payable or General Accounting.

  • Preferred Education: Associate’s degree in Accounting or related field.

  • Technical Skills: Proficiency in Microsoft Excel and accounting software. SAGE experience is a plus.

  • Strong attention to detail and organizational skills.

  • Excellent written and verbal communication skills, with the ability to interact professionally with all levels of staff.

  • Ability to prioritize tasks, meet deadlines, and work independently in a fast-paced environment.

  • Positive attitude, reliability, and high integrity are essential.
