For our growing Facility Management organization at a client in Neuheusen, we are looking:

Office Associate

Responsibilities:

•Managing reception, tea/cafeteria room, entrance area & telephones

•Managing cleaning staff

•Scheduling meetings and conference calls

•Providing logistical support and preparing agendas for senior-level external and internal meetings

•Managing, maintaining and coordinating executives’ calendars

•Coordinating complex domestic and international travel arrangements; preparing travel itineraries;

•Preparing detailed expense reports and accurately reconciling corporate charge card bills

•AP invoice support (receipt and scanning) and assisting and providing coverage for other administrative assistants as needed

•Ordering & managing stocks for office and kitchen supplies

•Ensuring documents are proofed and accurate, including legalization of company documents and commercial registry changes

•Maintaining the first aid room including first aid equipment and defibrillation as well as organizing first aid and fire rescue courses for the team

Person Specification/Requirements:

•Administrative assistant experience in a large, multi-national corporate environment

•Fluent in spoken and written English and German

•Proven expertise in Word, Excel, Outlook and PowerPoint

•Excellent interpersonal and communication skills (written and verbal)

•Proper handling of highly confidential information

•Proven expertise with travel arrangements, meeting planning and coordination

•Ability to interface well with individuals at every level in the organization

•Strong customer service with a high attention to detail
