Job Summary and Qualifications

To plan, develop, organize and manage the operations of the Medical Staff Office in relationship to regulatory standards, accreditation requirements and other applicable laws or regulations related to physicians’ and allied health professionals’ qualifications and competencies. Provides support to the President of Medical Staff, Vice President of the Medical Staff and Credentials Chair for day-to-day functions. Complies with the HCA Code of Conduct and related policies and procedures. Reports instances of perceived and actual non-compliance to Team Leader or through other reporting mechanisms.

Conducts orientation sessions for new medical staff members, including procuring identity badge and appropriate access, N95 fit testing and parking decals. Facilitates department-specific tours with Physician and Provider Relations (PPR) team.

Accesses the Provider Not Found work queue in Epic and enters new/missing providers at least three days a week in order to facilitate timely billing. Updates providers’ information (i.e., address, phone number) in Epic and responds to requests for updates from the Epic/IT team. Vets new providers by searching NPI Registry, medical licensing boards and Office of the Attorney General.

Manages call schedules on a daily basis. Enters schedules into the online call schedule system; makes changes as requested by providers and practice managers; notifies Transfer Center, Emergency Department, Hospital Medicine and administrative leadership of gaps in coverage.

Manages the medical staff dues process by invoicing members annually, collecting dues checks, creating deposits and coordinating pickup with the accounting firm. Invoices new members after they have been approved by the Board. Follows up with providers whose dues payments are past due and notifies the Manager, Medical Staff Services, of providers who fail to pay dues in a timely manner.

Assists with preparing for and conducting quarterly medical staff meetings. Works to increase Physician Engagement Survey participation through planned activities and emails.

Assists in preparing for meetings of the Medical Executive Committee (MEC), Credentials Committee, Advanced Practice Professional Review Committee and department meetings. Performs all administrative duties for President of Medical Staff (POMS), Vice President of Medical Staff (VPOMS) and Credentials Chairman. Assures accurate and timely communication of agenda items, reports and actions, as needed. Must function independently and be able to manage multiple projects and deadlines for the POMS, VPOMS, Department Chairs and committee members.

Directly facilitates highly confidential matters. Functions as a resource for POMS, VPOMS and other physician leaders. Provides vital information to medical staff members, physician leaders, and hospital in a timely manner. Provides personal and individual guidance to medical staff regarding privilege, credentialing or practice issues.

What qualifications you will need:

Minimum of 2-5 years credentialing and/or medical staff or healthcare experience

CPMSM or CPCS through National Association of Medical Staff Services when eligibility requirements are met.

Knowledge of Joint Commission credentialing and medical staff standards. Computer skills: knowledge and extensive use of Word, Excel and PowerPoint Microsoft Office products
