Summary:

Sweetser is looking for an Administrative Coordinator at our Certified Community Behavorial Health Clinic (CCBHC) in Sanford!

Administrative Coordinators provide support to the Community Behavioral Health Clinic [CCBHC], through the administrative functions such as reporting, data collection, and auditing. Administrative coordinators manage ongoing coordination of clients and staff including the facilitation of a positive patient-centered environment and ongoing support among providers and Sweetser.

E SSENTIAL FUNCTIONS :

  • Responsible for the coordination of care of individuals in the Community Behavioral Health Clinic [CCBHC].

  • Facilitate ongoing collaboration and communication between providers.

  • Run reports and collect data required by State and Federal entities.

  • Measure and seek to continually improve provider and staff satisfaction.

  • Create a “patient-centered” care environment resulting in high satisfaction as reported through Sweetser’s client service process.

  • Administer established guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary.

  • Supports the intake/access processes through completion of risk screening and behavioral health/SUD screenings with individuals.

  • Links individuals with needed resources and services and regularly ensures services are meeting needs.

  • Complete timely and accurate documentation of all contacts and activities utilizing an Electronic Health Record.

  • Completes comprehensive surveys with individuals at intake, discharge and every six months while in care.

  • Responsible for tracking and administering surveys as well as data entry.

  • Conducts primary care screening and monitoring processes and procedures. Coordinates vaccinations for Hepatitis A and B series for clients, as indicated by screening procedures.

  • Support individuals in completion of applications for applicable benefits to include Mainecare, non-emergency transportation resources, and other social services.

  • Utilize supervisory supports appropriately and participates in all team/program meetings.

  • Other duties as assigned.

  • Demonstrates professionalism and collaboration with others.

  • Receive and understand professional feedback from supervisors and colleagues and implement supervisory suggestions for performance improvement.

  • Recognize signs of increasing clinical or situational risk and of escalating behavior and utilize de-escalation and safety implementation techniques effectively.

  • Recognize variables underlying stressful situations, discern methods to diffuse or contain them and quickly implement the most effective intervention.

  • Manage multi-task situations and conflicting demands, cope with stressful situations, prioritize projects and responsibilities, and meet critical deadlines.

  • Maintains current knowledge in present practice area, i.e., attendance at required hours of organization educational programs and utilizes clinical supervision as a learning experience.

  • Use listening skills, flexible collaboration and a consistent problem-solving focus in working to resolve differences with colleagues, peers and clients.

  • Communicate ideas and opinions in a clear and constructive manner, both verbally and in writing.

  • Intermediate computer skills required.

  • Patient facing position - mental health experience 1-2 years preferred.

EXPERIENCE:

  • Minimum of three years of practice management.

EDUCATION:

  • Bachelor’s Degree in social work, human services, healthcare or business management.

CERTIFICATES, LICENSES, REGISTRATIONS REQUIRED:

  • Valid state driver’s license.
