Role Summary

Under the direction of management, the Greater America Payroll Lead is responsible for managing the payroll department’s daily operations and ensuring that accurate and timely payrolls are processed for all employees in a timely and efficient manner. This position will manage the payroll staff of 2, oversee payroll processing and reporting, provide customer service to internal and external customers, and ensure compliance with applicable federal and state laws, assist with Workday and Global payroll vendor implementation and integration projects.

The Greater America Payroll Lead’s duties and responsibilities include but are not limited to:

  • Support Balance legal entity transition for Payroll (e.g., system modifications), and assist with payroll testing for 1/1/25 payroll launch.

  • Collaborate with HR and other departments to ensure accurate employee data updates, such as new hires, terminations, salary changes, and other master data changes are reflected in the payroll systems in accordance with set priorities.

  • Manage the day-to-day operations of the payroll department, including the review and approval of bi-weekly, semi-monthly and off cycle payrolls for US two legal entities with a total of 1300 employees in 30 states, and 2 legal global entities with a total of 300 employees in Canada and Mexico.

  • Review and verify all payroll inputs, including timesheets, salary adjustments, benefits deductions and all data fed into Workday and Global Payroll Platform through all integrations to ensure accuracy and compliance with company policies before payroll processing.

  • Ensure payroll is processed timely and accurately in accordance with federal, provincial, state and local regulations.

  • Maintain payroll systems, including data entry, updating of employee information, and maintenance of electronic time tracking records.

  • Audit and reconcile payroll data in all systems periodically.

  • Act as a liaison between all the 3rd parties including but not limited to HR, Legal, Finance/Accounting (treasury), tax filing services, 401k, benefits, commissions, expense reporting and equity administrators, ensuring the reporting, accuracy, timeliness and compliance of all transactions.

  • Monitor and manage 3rd party global payroll vendors, tax filing services, communicate on all tax regulation updates ensuring the system is UpToDate and 3rd party authoritative agency notices have been handled completely. Reconcile monthly payroll tax filings with payroll registers, agency submissions and company bank account statements.

  • Ensure 401k contributions have been properly transmitted to the vendor’s system. Reconcile with payroll records at both employee and company level. Audit employees’ contributions on monthly basis to ensure the correct rates are in place. Audit employees YTD contributions to ensure the limit has not exceeded for the current year.

  • Ensure HSA/FSA contributions have been properly transmitted to the vendor’s system. Reconcile with payroll records at both employee and company level. Audit employees’ contributions on monthly basis to ensure the correct rates are in place. Audit employees YTD contributions to ensure the limit has not exceeded for the current year.

  • Ensure compliance with payroll-related regulations regarding wage garnishments, taxes and other deductions.

  • Provides information on systems and processes, and guidance on issues as appropriate. Escalates high level issues and all service issues to Global Payroll Manager.

  • Train and supervise payroll staff and ensure payroll staff is organized and meets deadlines. Provide cross training to payroll coordinators to support for absences and redundancy.

  • Supporting employees and stakeholders’ queries and providing necessary information and assistance as needed.

  • Act as back up for Payroll Coordinators for absences and redundancy.

  • Critically review vendor invoices for all charges and see improvements in processes to eliminate unnecessary payroll runs or correction/amendment requests. Manage vendor contracts.

  • Maintain the confidentiality of all employee information and payroll records.

Qualifications

You must possess the below minimum qualifications to be initially considered for this position. Preferred qualifications are in addition to the minimum requirements and are considered a plus factor in identifying top candidates.

Minimum Qualifications

  • Bachelor’s degree in finance, accounting, business or related field; or at least 7+ years of experience in lieu of the degree

  • 5+ years of US payroll experience

  • Prior experience with Workday

Preferred Qualifications

  • 5+ years of US and global (Canada & Mexico) payroll experience

  • Strong knowledge of payroll principles, practices, and laws, including federal, provincial, state, and local regulations

  • CPP, PCP (Payroll Compliance Professional), CPM (Certified Payroll Manager/CAN) certifications are preferred

  • Strong communication skills, both written and verbal, with the ability to effectively communicate complex payroll information to employees and stakeholders

  • Strong analytical and problem-solving skills, with the ability to identify errors, resolve discrepancies, and recommend solutions

  • Ability to work with confidential information and maintain strict confidentiality

  • Able to work independently and manage multiple priorities

  • Strong proficiency in Excel

Annual Salary Range for jobs which could be performed in US, California: $84,745.00-$127,117.00

*Salary range dependent on a number of factors including location and experience
