Description

Responsibilities:

• Organize and maintain the law firm's physical file system, ensuring all documents are correctly labeled and filed.

• Digitize physical documents using scanning equipment and software, converting them into digital formats.

• Transfer digitized files to the new vendor system, ensuring accuracy and proper categorization.

• Ensure all digital files are backed up and securely stored in accordance with the firm's data management policies.

• Manage the retrieval of physical and digital files as requested by attorneys and staff.

• Conduct regular audits of physical and digital files to ensure accuracy and completeness.

• Assist with the implementation and training of staff on the new vendor system.

• Maintain confidentiality and security of all files and documents.

• Perform other administrative duties as needed to support the firm's document management needs.

  Requirements

Qualifications:

· High school diploma or equivalent required.

· Previous experience as a file clerk or in a similar administrative role preferred.

· Proficiency in using document management software and scanning equipment.

· Strong organizational skills and attention to detail.

· Ability to manage multiple tasks and prioritize effectively.

· Good written and verbal communication skills.

· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with database management.
