Job Summary

Under minimal supervision, responsible for planning, organizing, directing and/or controlling all aspects pertaining to a sizable specific program or multiple program functions of assigned department’s internal and external customer service, human resource and financial management operations pertaining to areas including (but not limited to) academic, research, health sciences, and community outreach. Acts as a catalyst between the department and its customers and staff to ensure continuity and quality of service and care.

Responsibilities

Essential Functions:

  • Office communications. The PM/ OGH Ad must create and maintain communication outlets:

  • Website. Redevelop, develop and renew content and update information.

  • Newsletter. Write, edit and prepare periodic OGH’s newsletters

  • Agreements management. Supports the OGH Director to develop MOUs by

  • Coordinating with OGC to vet agreements

  • Receive office of foreign influence approvals

  • Secure signatures of external and internal parties

  • Maintain records and distributes copies to interested parties including OGE

  • Foreign and external visitors. Organizes and plans travel activities for visitors. Activities include

  • Travel arrangements – tickets and hotel

  • Agenda development

  • Coordinate meetings with U of U faculty and staff

  • Coordinate presentations and grand rounds

  • Travel planning for OGH director

  • Tickets and hotels arrangements

  • Visas procurement

  • Arrange meeting

  • Process travel expenses

  • Meetings organization and documentation. Organizes activities for the monthly steering committee, the Global Health Board, the Women Leaders in Global Health meetings and the weekly OGH Traffic meeting. Activities include

  • Agenda

  • Meeting minutes taking and distribution

  • Present as required

  • Office files management. Includes physical and electronic cataloging and filing

  • Accounting related activities

  • Budgeting planning, revision and maintenance

  • Purchase processing and documenting

  • P-Card documentation management

  • International events. Organize panel at the World Health Assembly. Activity includes

  • Coordinate participants

  • Secure location

  • Procure refreshments

  • FEMH Webinar. Activity conducted with international partner to promote innovations in healthcare in Utah and Taiwan.

  • Coordinate meetings

  • Organize presentations

  • Global Health Education. Support the OGH director activities for the Proposal Writing Course, GH courses in CMI , SON and MHA

  • Support the Director in the compilation of documents and tools necessary for the implementation of projects abroad.

Minimum Qualifications

Bachelor’s degree in a related area or equivalency (one year of education can be substituted for two years of related work experience). Four to six years of progressively more responsible management experience. Background knowledge of hiring department’s area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department. Completion of provided supervisory training within one year of employment may be required. Master’s degree in a related area may be preferred.

Preferred:

  • Knowledge of Spanish, French or Arabic languages

  • Have knowledge of Microsoft, Kronos, canvas, Concur P-card, University travel expenses would be preferred.

  • This position is expected to be in the office 4 day the week with the Global Health Team.
