State of Utah - Jobs Office Specialist II - Return Utah (Part in OREM, Utah

The Utah Department of Transportation (UDOT) is seeking two people who are dependable,reliable,and experienced in customer service to join our team as Office Specialist II's. This position works at the front desk and provides administrative office support in the Region Three office located in Orem,Utah. You will report directly to the Region Three Senior Communications Manager with a secondary reporting relationship to the Region Three Director. You will provide them with administrative office support as well as inform and educate the public and/or state agencies regarding UDOT's programs,goals and objectives.  *These are part time positions (job share) working Monday through Friday (or alternating days with each other) 20-25 hours a week during normal business hours. Business hours are Monday through Friday,8:00 AM to 5:00 PM (excluding holidays). Final schedule is to be determined but must be during normal business hours* Return Utah The Return Utah program is similar to an internship designed for adults looking to re-enter the workforce after an extended absence. These opportunities are structured as return-to-work positions that provide the experience,training,skills,and mentoring an individual needs to return to the workforce. * * Return Utah is a 16-week program for people who have taken a career break for at least one or more years for reasons such as starting or raising a family,caring for a family member,chronic illness,enhanced education,volunteerism,other personal/career related needs,etc. Those serving,separated,or retired from military service and their spouses and/or partners are not required to meet the one-year requirement.   This is a long term position,meaning employment continues after transitional support provided during the first 16 weeks of employment,after the completion of the Return Utah program. 

To be eligible for this return-to-work opportunity candidates:

  1. Must have a career break of one year or more at the time of application (unless the candidate is affiliated with the military in any way including as a military spouse/partner),or

  2. Demonstrate underemployed at the time of application, 

and

  1. Have prior professional/life experience in a functional area of interest

Principle Duties

  • Provides administrative office support and screens access to the Region Director and Region Senior Communications Manager.

  • Greets patrons at the front desk,answers incoming call s and emails with the goal of creating a positive customer experience.

  • Schedules and/or coordinates appointments,meetings,facilities,meals,equipment,etc. and follows up as needed.

  • Receives,researches and responds to incoming questions or complaints; provides information,explains policy and procedures,and/or facilitates a resolution.

  • Maintains and/or creates files or record keeping systems. 

  • Drafts correspondence,reports,articles,brochures,scripts,news releases,or material of a technical nature and/or other written materials.

  • Edits written material for accuracy,format,and arrangement of material.

  • Assists with public affairs program planning,highlighting agency program activities through electronic and print medium,select art work,layouts and photographs.

  • Analyzes,summarizes,and/or reviews data; reports findings,interprets results and/or makes recommendations.

  • Monitors and assists with developing and framing social media messages.

  • Provides strategic and creative development as needed.

  • Assists with oversight of department public outreach initiatives.

  • Coordinates and/or acts as a l aison between Region Three and other agencies,work units,organizations,consulting firms,etc.

The Ideal Candidate The ideal candidate for this position is someone who:

  • Has experience working in an office or clerical position.

  • Has excellent customer service skills,via phone and in person.

  • Works with others in a manner which shows sensitivity,tact and professionalism.

  • Is proficient using different computer programs.

  • Is self motivated/directed,proactive,responsive,detailed,and can exercise initiative and independent judgment and is able to act resourcefully under varying conditions.

Preferences

Preference may be given to applicants with:

  • Prior experience working in a customer service-related position.
  • Prior experience editing documents as a function of your position.
  • Transportation knowledge and experience.
  • Public relations or communications experience.

Here is some additional information of which you should be aware:

  • DHRM Rules and UDOT policies apply for promotions/transfers.
  • Risks found in the typical office setting,which is adequately lighted,heated and ventilated,e.g.,safe use of office equipment,avoiding trips and falls,observing fire regulations,etc..
  • Typically,the employee may sit comfortably to perform the work; however,there may be some walking; standing; bending; carrying light items; driving an automobile,etc. Special physical demands are not required to perform the work.
  • Employee may be reassigned to a different location as deemed necessary by the Region Director/G roup Leader.
