The Meetings & Travel Coordinator will work directly with the Sr. Manager, Meetings, Events & Travel to help with different aspects of Extra Space’s employee events, conferences and meetings of all sizes. They will also help with travel bookings, process hotel credit card authorizations, and gathering information from incoming hotel proposals for small meetings. The expected start date for this position is early January 2025, beginning as a part-time role with the potential to transition into full-time in the spring of 2025.

  • Feel comfortable interacting with people at all levels of the organization, including Senior Management and Executives

  • Ability to travel 3-5 times per year once brought on full-time

  • Recently earned or working toward a degree or certification in Meeting Planning, Event Management, Experience Design or Hospitality Management preferred

Responsibilities:

  • Assist Meetings, Events & Travel Manager with organizing corporate meetings and events, as well as answering questions on company travel

  • Help with corporate employee events held throughout the year including a Halloween party, summer and holiday parties, in-office events, offsite company meetings, and more.

  • Manage registrations for virtual meetings

  • Assist with planning and preparation for National Sales Meeting and Partner Conferences including, but not limited to:

  • Help with buildout of event websites and event apps including gathering information and images

  • Attendee management – Field calls and e-mails from meeting attendees regarding questions about the meeting, travel, how to register, or changes to their registration

  • Manage event reports and registration lists including hotel rooming lists

  • Ordering supplies including name badges and lanyards

  • Printing reports and other information needed onsite

  • Gathering meeting supplies and managing shipments to and from event sites

  • Coordinate employee travel bookings through travel management company

  • Oversee individual traveler access in Concur booking system

  • Securely handle credit card information used for travel and meeting payments

  • Assist with onsite company brand store including inventory counts, reorders, pulling items as requested by employees and department billing

  • Assist onsite at national company meetings and partner conferences from start to finish with all aspects of the meeting, helping create a positive experience for attendees
