This position can accommodate remote work. It is a requirement to be on site for in-person Senate meetings (Mondays, twice a month, until 6pm or later) and for Senate Committee and Senate-related meetings as scheduled.

Job Summary

  • The University of Utah Academic Senate is a legislative body where the major academic stakeholders at the University – faculty, students, and administrators – work together in setting educational policy and fulfilling the University’s three-part mission of teaching, research, and service.

  • The Academic Senate plays an integral part in the shared governance of the University.

  • The Academic Senate office is hiring a versatile Operations Assistant who is professional, detailed oriented, self-motivated, and has the organizational, problem-solving, communication, and interpersonal skills to manage the varied roles and tasks of this critical position.

Responsibilities

Meeting Management: manage—for both in-person and virtual meetings—the logistics, technical set-up, and other event details for Senate and Senate-related meetings, including Senate committees.

Database Maintenance: maintain Academic Senate databases—such as membership and committee rosters.

Outreach Coordination: develop professional communications, correspondence, and reports for the Senate, its committees, and related organizations; maintain the website; liaise with marketing and communications. Act as key Senate liaison with affiliate organizations.

Provide support to the Senate officers and Senate Secretary in areas such as: Senate and Senate committee minutes, University elections processes, vacancy monitoring, electronic surveys, office inquiries, and accurate record management.

Manage special projects/tasks as assigned.

Minimum Qualifications

Bachelor’s degree in a related area or equivalency (one year of education can be substituted for two years of related work experience). Four to six years of progressively more responsible management experience. Background knowledge of hiring department’s area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department. Completion of provided supervisory training within one year of employment may be required. Master’s degree in a related area may be preferred.
