Job Summary

This position will serve as the Finance Assistant for Student Governance & Leadership ( SGL ), which performs a variety of duties that range in level of complexity from clerical accounting duties such as managing payables, to more complex duties such as preparing budgets and assisting in managing student group accounts. This position will be working under the umbrella of SGL and will include the Associated Students of the University of Utah ( ASUU ) and recognized student organizations. This positionwill provides support and assists with the overall administration and development of specific department programs.

Responsibilities

  1. Assists and communicates with student organizations in spending allocations from student government (Associated Students of the University of Utah- ASUU ).

  2. Prepares and processes purchasing, reimbursement and travel documents. Solves problems with invoices and processes for payment.

  3. Reviews expense and accounting documents for accuracy and appropriate approvals

and ensures transactions are charged to the correct account.

  1. Maintains and reconciles accounts and makes correction to journal entries as necessary.

5.. Assists the Associate Director for Finance & Office Operation in accounting and record keeping.

  1. Maintains relationships with vendors for accurate and timely processing of purchase

orders and other transactions.

  1. Prepares, reviews and reconciles University procurement and purchases utilizing university systems, including E-Journal Entries, ePayment Request, Ushop, etc.

  2. Reconciles monthly management statements and maintains back-up documentation.

  3. May assist in Purchasing Card processing for the department.

  4. May track and control department inventory.

  5. Utilize university systems to process reimbursements and fund transfers, including E-Journal Entries, ePayment Request, Ushop, etc.

  6. Compiles, sorts, and organizes data for entry into a database, distributes program information, and conducts program research.

  7. Answers telephones and gives information to callers, takes messages, or transfers calls to appropriate individuals.

  8. Greets visitors and communicates with customers, employees, and other individuals to answer questions, disseminate or explain information, and address complaints.

  9. Other duties as assigned.

Minimum Qualifications

Associate degree in business or equivalency (one year of education can be substituted for two years of related work experience) and three years full-time secretarial experience required.

Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.

  • One year of experience performing accounting functions and preparing related reports, or equivalency; the ability to use standard office machines, calculators and data input terminals; and demonstrated human relation and effective communication skills required.

  • Excellent organizational skills.

  • Ability to accurately analyze information, situations, and procedures.

  • Experience in writing routine business correspondence and operating procedures.

  • Working knowledge of various software packages (including spread sheets, word

processing, and e-mail)

  • Excellent communication and interpersonal skills.

  • Ability to work a modified schedule during peak times of the year.
