Clinic Operations Manager – Front Office

Location : West Salem Clinic | 1233 Edgewater St. NW Salem OR 97301

Job Status: Full-time, Monday – Friday

We are looking for a diverse leader to oversee the daily operations of the Reception, Call Center, Empanelment, Interpreters, Administrative Support and Medical Records departments for our medical, dental, and mental health clinics.

YOUR ROLE:

As our front office Clinic Operations Manager, you are responsible for the direct supervision of the reception staff at our West Salem Clinic and Total Health Community Clinic. In this role you will also work to identify and facilitate a department training process that addresses individual and group training needs. Implements and maintains a consistent set of department/function policies, procedures and protocols that meet regulatory and accrediting standards.

This is a supervisory role and is responsible for the recruiting, hiring, coaching, training, and ongoing support of staff.

SPECIFIC DUTIES:

  • Arrange, prepare presentation, coordinates, and leads department meeting for Reception.

  • Lead the clinic to improve patient, provider, and staff satisfaction.

  • Develop a strong, collaborative relationship with the care teams to better serve patients.

  • Handles and resolves patients’ complaints and grievance as per policies and procedures.

  • Creates, inspires, and implements a department culture and leadership that embraces the organization’s vision. Coaches and leads staff to achieve and exceed the standards required to accomplish this. Continually evaluates and adjusts the steps necessary to meet the vision and motivate staff to achieve this in their daily.

    QUALIFICATIONS:

  • High school diploma or equivalent required.

  • Supervisory experience required.

  • Previous experience supervising front office staff in a medical clinic preferred.

  • A minimum of 3 years' previous medical management office experience required.

  • Ability to exercise independent judgment and decision-making.

  • Previous experience with Electronic Medical Records preferred.

  • Ability to interact effectively and courteously with patients from a variety of cultural backgrounds and linguistic abilities.
