Description

We are offering a contract for an Sr. Administrative Assistant in Saint Paul, Minnesota. This role requires the provision of high-level administrative support through conducting research, managing information requests, and performing clerical functions. The selected individual will act as an information and communication manager for the office.

Responsibilities:

• Perform clerical duties such as maintaining records management systems and basic bookkeeping tasks

• Handle customer service inquiries and demonstrate strong interpersonal skills

• Maintain an organized, confidential information system

• Demonstrate leadership skills by providing support and constructive performance feedback

• Utilize computer applications such as Microsoft Word, Excel, and PowerPoint

• Review, approve, and manage invoices, reports, memos, letters, financial statements, and other documents

• Supervise general office duties such as ordering supplies

• Display expertise in event planning and budgeting

• Read, analyze, and plan the distribution of incoming memos, submissions, and reports

• Prepare agendas and make arrangements for committee, board, and other meetings.

Requirements • Demonstrated customer service skills and ability to interact detail orientedly with all levels of staff and customers

• Excellent communication skills, both written and verbal, for effective information dissemination

• Knowledge and experience in handling office functions and administrative duties

• Proficiency in Microsoft Excel for data management and analysis

• Strong planning skills to manage tasks and schedules efficiently

• Ability to handle invoicing processes accurately and promptly

• Research skills to support decision-making and problem-solving

• Proficiency in Microsoft Word for document creation and editing

• Reviewing skills to ensure accuracy and completeness of documents and reports

• Experience in supervising, mentoring, and guiding other staff members

• Familiarity with the time management software 'About Time'

• Demonstrated leadership skills with the ability to inspire and motivate teams

• Budgeting skills for efficient financial management

• Proficiency in clerical duties such as filing, typing, and scheduling appointments

• Understanding of financial statements for business analysis and reporting

• Proficiency in Microsoft PowerPoint for creating effective presentations

• Knowledge of conductivity in the context of business operations

• Experience in interacting with C-Suite executives and managing their requests

• Strong interpersonal skills to build and maintain detail oriented relationships

• Experience in handling submission of reports and documents in a timely manner

• Experience in event planning and coordination

• Excellent written communication skills for clear and detail oriented correspondence

• Experience in records management and ensuring data privacy and security

• Proficiency in various computer programs for efficient task management

• Basic understanding of bookkeeping for managing financial records.
