Beacon Hill Staffing Group, LLC Property Management Assistant in Saint Paul, Minnesota

Job Summary Beacon Hill's client is looking for an Assistant Property Manager to jump into their team and be ready to wear many hats across the business. This multifaceted role combines responsibilities in property management, bookkeeping, construction project coordination, and office management. The ideal candidate will be highly organized, detail-oriented, and adept at managing multiple priorities effectively. This is a full-time opportunity in the St. Paul, MN office, this is a contract-to-hire opportunity. Key Responsibilities Property Management

  • Oversee day-to-day operations of assigned properties, including office spaces and the attached restaurant.
  • Handle tenant inquiries, maintenance requests, and lease renewals.
  • Ensure properties are well-maintained and comply with local regulations.
  • Coordinate with contractors for repairs and maintenance services.

Bookkeeping

  • Maintain accurate financial records for the company.
  • Process accounts payable and receivable.
  • Prepare monthly financial reports and assist with budget planning.
  • Conduct regular audits to ensure financial accuracy and compliance (with support from in-house CPA).

Construction Project Coordination

  • Assist in planning and coordinating construction projects.
  • Liaise with contractors, architects, and engineers to ensure project milestones are met.
  • Track project timelines and budgets, ensuring adherence to schedules and financial constraints.
  • Prepare and distribute project updates and reports to stakeholders.

Closing Assistance

  • Assist in preparing closing packages and related documentation.
  • Ideal candidate should have experience with title companies and closing processes.

Special Projects

  • Participate in various special projects as assigned by management.
  • Conduct research and analysis to support project goals.
  • Collaborate with team members to develop and implement project plans.
  • Monitor progress and provide regular updates to management.

Office Management

  • Manage day-to-day office operations, including supplies and equipment.
  • Oversee administrative tasks such as scheduling, filing, and correspondence.
  • Coordinate meetings and events, including logistics and materials preparation.
  • Support senior management with travel arrangements, presentations, and other administrative duties.

Qualifications

  • Bachelor's degree in business administration, real estate, or a related field preferred.
  • Proven experience in property management, bookkeeping, or a similar role.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite and property management software.
  • Knowledge of real estate development and construction processes is a plus.
