Robert Half Executive Assistant in Saint Louis, Missouri

Description We are offering a role for an Executive Assistant in the non-profit sector, located in St. Louis, Missouri. This role is vital to the smooth operation of our organization, handling a variety of tasks from processing grant paperwork to managing travel arrangements. The role is a short-term contract employment opportunity.

Responsibilities:

• Process grant paperwork with meticulous attention to detail, ensuring all documents are accurate and compliant with organizational guidelines.

• Manage the executive's inbox, responding to emails promptly, drafting correspondence, and prioritizing messages based on their urgency and importance.

• Handle incoming calls professionally, screening and directing inquiries appropriately, with timely follow-up.

• Arrange complex travel itineraries, including flights, accommodations, and other logistics, for the director and other parties visiting St. Louis.

• Coordinate catering for meetings, events, and executive functions, liaising with vendors to ensure high-quality service and accommodating dietary restrictions/preferences.

• Maintain an organized filing system for documents, contracts, and other important records, both physical and digital, for easy retrieval and access.

• Assist with calendar management, scheduling appointments, meetings, and conferences, and proactively anticipating any conflicts or scheduling constraints.

• Prepare meeting agendas, materials, and presentations, and take accurate notes during meetings as needed.

• Utilize skills in Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, About Time, Calendar Management, Correspondence, C-Suite, Documentation, Meeting Notes for efficient management of administrative tasks. Requirements • Demonstrated proficiency in Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, and About Time.

• Solid experience in Calendar Management and Correspondence.

• Proven ability in handling C-Suite level tasks.

• Extensive experience in Documentation and Meeting Notes preparation.

• Exceptional organizational skills and detail orientation.

• Proven ability to work independently and as part of a team.

• Excellent verbal and written communication skills.

• Proven ability to multitask and prioritize effectively.

• High level of discretion and confidentiality.

• Strong problem-solving and decision-making skills.

• Willingness to learn and adapt in a fast-paced environment.

• Excellent time management skills.

• High level of professionalism and personal integrity.
