Robert Half Executive Assistant in Sacramento, California

Description We are offering a short term contract employment opportunity for an Executive Assistant in Sacramento, California. This role involves supporting high-level business operations, closely coordinating with the events department and communication team, and interacting with top-tier executives and elected officials. The Executive Assistant will be fully on-site initially, with the potential to work partially from home after the first few weeks.

Responsibilities:

• Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.

• Oversee the creation of complex business correspondence and communications.

• Maintain comprehensive and accurate corporate records, documents, and reports.

• Leverage various software and applications, such as Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, About Time, Calendar Management, and C-Suite, to perform tasks efficiently.

• Assist with organizing company events, meetings, and employee team building activities or special projects.

• Ensure deadlines are met and work is completed correctly, handling any problems or issues that may arise.

• Update publications as needed.

• Handle confidential information and communications professionally and discretely.

• Collaborate with the communication team to create strategies and initiatives for improved business operations.

• Adhere to an organized filing system for important and confidential company documents. Requirements • Proven experience as an Executive Assistant or similar administrative role

• Proficiency in using Concur for travel and expense management

• Experience using Customer Relationship Management (CRM) software

• Excellent knowledge of MS Office, particularly Excel and Outlook

• Familiarity with office management systems and procedures such as About Time

• Outstanding calendar management skills, including the coordination of complex executive meetings

• Experience assisting with correspondence at the C-Suite level

• Proficient in creating, maintaining, and filing documentation

• Excellent verbal and written communication skills

• Strong organizational and multitasking abilities

• Ability to handle sensitive and confidential information with discretion

• Detail-oriented with exceptional problem-solving skills

• Ability to work under pressure and meet deadlines

• Excellent interpersonal skills and a team player attitude

• Ability to work independently with minimal supervision

• High level of professionalism and personal integrity.
