Robert Half Executive Assistant in Sacramento, California

Description We are looking for an Executive Assistant based in Sacramento, California, who will primarily focus on managing calendars and scheduling for the team. This role is offered on a contract basis, providing the opportunity to work in a fast-paced environment.

Responsibilities:

• Manage and schedule meetings and appointments, ensuring all necessary participants are informed and prepared.

• Utilize software such as Concur, CRM, Microsoft Excel, Microsoft Office Suites, and Microsoft Outlook to streamline scheduling and administrative tasks.

• Utilize 'About Time' software for effective calendar management and scheduling.

• Handle correspondence with internal and external stakeholders, providing necessary information and updates.

• Support C-Suite executives in managing their schedules, preparing for meetings, and other administrative tasks.

• Ensure all documentation is accurately maintained and updated.

• Handle any changes or unexpected shifts in scheduling, ensuring minimal disruption and prompt communication to all involved.

• Prioritize tasks and meetings, ensuring the most efficient use of time and resources.

• Use problem-solving skills to handle scheduling conflicts and other issues that may arise.

• Maintain a high level of discretion and confidentiality at all times, ensuring sensitive information is properly protected. Requirements • Minimum of 1 year experience in an Executive Assistant role or similar position.

• Proficiency in Microsoft Office Suites, including Microsoft Excel and Microsoft Outlook.

• Familiarity with CRM systems.

• Experience with Concur for travel and expense management.

• Proficient in using About Time for time tracking and project management.

• Experience in managing calendars and coordinating meetings.

• Strong skills in handling correspondence.

• Experience in supporting C-Suite executives.

• Demonstrated ability in creating and maintaining documentation.

• Excellent communication and organizational skills.

• Ability to multi-task and prioritize in a fast-paced environment.

• Strong problem-solving skills and attention to detail.

• High level of discretion and confidentiality.

• Must be legally eligible to work in the location of the job.
