The Medical Affairs Program Administrator coordinates and administers activities and functions of a designated program to ensure that goals and objectives specified for the program are accomplished in accordance with established priorities, time limitations, funding limitations or other specifications. These activities may include developing, implementing and supervising related procedures, processes, services and systems as well as communicating program objectives and results to internal and external stakeholders.

Program Administrator I

Primary responsibilities for role;

  • Communicates regularly with all internal and external stakeholders to ensure all necessary paperwork is completed and compliant with program guidelines.

  • Develops and recommends new or revised program goals and objectives. Develops and refines Standard Operating Procedures (SOPs) where appropriate.

  • Oversees program budget. Monitors, verifies and reconciles program expenditures and revenue. Monitors all program financial agreements.

  • Assists in the preparation of program budgets and financial reporting. Provides Finance with regular updates.

  • Sets up and tracks program related documents.

  • Coordinates work of others to accomplish program objectives.

  • Prepares periodic reports, financial statements and records on program activities, progress, status or other special reports for management or outside agencies.

  • Manages logistics and administration of review meetings, including reviews with management and outside agencies/vendors.

  • Maintains thorough understanding of and ensures compliance with appropriate corporate and regulatory guidelines.

  • Manages vendor relationships.

  • Takes on other responsibilites as needed to support department goals

Additional Responsibilities:

Coordinates work of others to accomplish program objectives. Implements tracking software, as needed.

Knowledge, Skills & Abilites:

Knowledge of or ability to learn regulatory requirements. Good MS Office skills, specifically in Microsoft Excel, Word and Power Point. Knowledge of SOP elements. Strong oral and written communication skills. Ability to communicate with individuals from multiple disciplines. Ability to effectively cope with accelerating changes in an evolving process. Performs with precise attention to detail, thoroughness, and effectiveness. Ability to build internal relationships to overcome organizational obstacles to effectively achieve timely results.

Education:

Bachelor's degree in Business or health related field.

Experience:

Typically requires 2 years of experience in program administration. Experience managing budgets preferred.

Equivalency:

Depending on the area of assignment, directly related experience or a combination of directly related education and experience and/or competencies may be considered in place of the stated requirements. Example: If a job level requires a Bachelor’s degree plus 4 years of experience, an equivalency could include 8 years of experience, an Associate’s degree with 6 years of experience, or a Master’s degree with 2 years of experience.

Evaluates program effectiveness to develop and implement improved methods; devises evaluation methodology and implements; analyzes results and takes proper action based on outcome. Manages programs with advanced complexity having multiple deadlines, stakeholders, and processes. Prioritizes and delegates work to others.

Knowledge, Skills & Abilites:

Excellent knowledge of regulatory requirements (PhRMA, FDA etc.) Excellent knowledge of database management. Strong skills in MS Office, specifically in Microsoft Access, and Excel. Excellent oral and written communication skills. Strong ability to interact internally with multiple disciplines as well as with external agencies and or vendors. Ability to operate as a strategic thinker. Effectively copes with accelerating changes in an evolving process. Performs with precise attention to detail, thoroughness, and effectiveness. Uses internal relationships to overcome organizational obstacles to effectively achieve timely results.

Education:

Bachelor's degree in Business or health related field.

Typically requires 5 years of experience in program administration within a pharmaceutical/bioscience company. Experience managing budgets.

Depending on the area of assignment, directly related experience or a combination of directly related education and experience and/or competencies may be considered in place of the stated requirements. Example: If a job level requires a Bachelor’s degree plus 4 years of experience, an equivalency could include 8 years of experience, an Associate’s degree with 6 years of experience, or a Master’s degree with 2 years of experience.

Occupational Demands: Work is performed in an office environment with exposure to electrical office equipment. Frequently sits for 6-8 hours per day. Repetitive hand movement of both hands with the ability to make fast, simple, repeated movements of the fingers, hands, and wrists. Occasionally walks and stands. Occasionally bends and twists neck. Light to moderate lifting and carrying objects with a maximum lift of 25lbs. Frequently drives to site locations with occasional travel within the United States. Able to communicate information and ideas so others will understand; with the ability to listen to and understand information and ideas presented through spoken and written words and sentences. Interacts with others, relates sensitive information to diverse groups. Must work with diverse groups to obtain consensus on issues.
