Position Overview and Scope of Work GapBuster, Inc. Administrative Assistant is responsible for day-to-day clerical and administrative tasks for the office. The primary duties include greeting and assisting visitors, coordinating meetings and appointments, managing executives schedules, and performing clerical tasks to ensure the smooth operation of the office.

Reporting Structure The Administrative Assistant reports to and takes policy guidance from the Director of Programs. Essential Functions and Principle Tasks ? Screen calls and provide information or referrals. ? Schedule and manage conference calls and appointments. ? Handle routine inquiries regarding policies and procedures. ? Manage mail, record keeping, and filing. ? Create and manage documents, including newsletters. ? Operate office equipment and computers. ? Enter data accurately and maintain records. ? Proofread documents for accuracy. ? Take meeting minutes. ? Maintain office inventory. ? Manage correspondence.

Demands of Position ? Self Starter, Excellent multitasking and organizational ability ? Experienced in all aspects of administrative assistant

Educational and Experiential Requirements ? High school diploma or GED. ? Preferably six months of office, clerical, or administrative support experience. ? Proficient in office equipment, computers, and communication systems. ? Knowledgeable about company rules, regulations, and procedures. ? Familiar with standard formats for letters, memos, and reports. ? Skilled in record-keeping, file management, and information transmission. ? Able to apply and explain rules, regulations, policies, and procedures. ? Effective verbal and written communication skills. ? Basic proficiency in word processing, spreadsheet, and database applications. ? Ability to establish and maintain effective working relationships. ? Detail-oriented with the ability to detect discrepancies in information or records. ? Skilled in proofreading and editing. ? Capable of computing, verifying, and comparing figures. ? Able to extract data and draw reasonable conclusions from various sources.
