Health First Payroll Analyst I - Payroll in Rockledge, Florida

POSITION SUMMARY:

To be fully engaged in providing Quality/No Harm, Customer Service and Stewardship by performing a variety of complex accounting duties in the preparation, processing, and maintenance of all payroll functions for Health First, Inc. and its affiliates, while ensuring the payroll department is operating in an efficient manner. Under direction of the Payroll Supervisor and Manager, analyzes, investigates, and resolves issues related to payroll data and makes technical decisions requiring the application and interpretation of data, facts, procedures, policy, and law.

PRIMARY ACCOUNTABILITIES:

Quality/No Harm:

  • Accurately processes high volume, biweekly, healthcare payroll using Kronos time and attendance system and PeopleSoft Financial systems. Analyzes, reviews, and audits entered data for inefficiencies and errors. Reconciles and resolves complex payroll processing and associate payroll issues to ensure smooth payroll processing, adhering to strict deadlines.
  • Analyzes, verifies and processes payroll corrections to ensure hours, shift differential, overtime, incentive pay, and approvals are accurate and post to the associate time card correctly.
  • Analyzes and audits employment, compensation and benefit related data on associate records to ensure accuracy of payroll processing and provides feedback to HR when corrections are needed. Processes Benefit adjustments each pay period to recoup monies owed to Health First due to changes in status, benefit rates, or leave of absences.
  • Demonstrates knowledge and functionality of the payroll systems, related Health First policies and procedures, and safe handling of department equipment in the daily performance of job duties.
  • Continually updates job instruction manual with current information and detailed instructions to use as reference or for cross training. Proactively participates in the creation of training material and makes suggestions to improve process workflow to enhance customer satisfaction.
  • Collaborates with Employee Relations regarding the interpretation and administration of Health First policies and federal laws to ensure accurate and consistent application. Provides reports or other payroll information as requested for audits, exiting associates, and unemployment cases, etc.
  • Prepares and documents Payroll records for storage in accordance with Health First policies and record retention regulations.

Stewardship:

  • Conducts regular audits on payroll data and evaluates data to addresses discrepancies to ensure payroll reporting and payments are compliant with Health First policies, generally accepted accounting principles, and federal, state, and IRS regulations. Researches and interprets federal and state regulatory requirements and resolves tax, withholding, garnishment, and wage/hour issues for payroll processing.
  • Updates and reviews biweekly Termination List to ensure amounts owed to Health First are collected from associate final paychecks. Removes Kronos Timekeeper access for those terminating associates.
  • Analyzes and identifies areas for process improvement, streamlining audits and documentation to optimize processing workflows and maintain controls and data integrity.
  • Works closely with HRIS, analyzing and troubleshooting when processing and testing payroll data. Completes detailed testing of all payroll applications when upgrades occur in payroll software.
  • Evaluates and prepares payroll information for auditors and Finance, working with auditors to research issues and answer questions as needed.
  • Provides Finance with journal entries to ensure correct posting of some deduction amounts to the General Ledger. Frequently researches paid items as requested by Finance.
  • Works as a team member to ensure strict deadlines are met. Thinks independently to decide priority of tasks at any given time. Assists coworkers whenever necessary.
  • Supports Payroll Supervisor and Manager with special projects and functions and provides ongoing feedback or guidance on work assignments.

Customer Experience:

  • Understands and adheres to the I Care values and the standards and behaviors that demonstrate those values in the workplace.
  • Researches, analyzes, and resolves payroll related problems or questions by collecting and analyzing information. Communicates with associates, timekeepers, and leaders and provides explanations of complex payroll calculations regarding wages, deductions, taxes, and deposits.
  • Evaluates, builds and maintains individual security profiles for timekeepers in Kronos based on department access and approval status and updates the Master List and Outlook Group with appropriate revisions.
  • Continually provides associates, timekeepers, and leaders with advanced technical user support, analysis, troubleshooting, and resolution relating to payroll timekeeping systems.
  • Provides ongoing training and education to ensure compliance with Health First policies and federal laws.
  • Accurately enters and maintains one time and recurring voluntary deductions, convenience benefit deductions, W-4 changes, and address changes, and follows through on outstanding issues on a daily basis. Maintains associate records for direct deposit accounts and processes changes as requested by the associate, or as required by the financial institution.
  • Provides accurate and timely response to associate requests for re-printed W-2 forms, check copies, and wage verifications for child support and student loan forgiveness.
  • Researches, analyzes, prepares, and/or distributes information or reports to department managers and various personnel or departments as required.
  • Answers multiple telephone lines and assists callers or forwards calls as appropriate.
  • Uses proper telephone etiquette when answering questions from associates, managers, and directors. Answers voice mail messages throughout the day and returns all calls within a reasonable period of time, usually within 24 hours or less. Adheres to and abides by all rules concerning the confidentiality of associate payroll information.

QUALIFICATIONS REQUIRED:

  • High school diploma.
  • Associates degree preferred.
  • Minimum 3 to 5 years Payroll experience and/or direct health care experience.
  • Advanced knowledge regarding federal and state wage and hour laws and regulations, as well as federal payroll tax regulations, including FLSA,
  • Consumer Credit Protection Act, and Garnishment Regulations.
  • Strong analytical thinking skills with the ability to trace and reconstruct transactions to resolve issues.
  • Strong customer relations/interpersonal communications skills (both written and oral), with the ability to clarify and interpret user requests and respond with appropriate solutions.
  • Experience demonstrating excellent technical, analytical, and critical thinking skills.
  • Minimum 5 years computer skills with emphasis on Microsoft Office products (Excel, Word, and Windows), database maintenance and advanced spreadsheet skills.
  • Proficiency in the use of a 10 key calculator.
  • Good working knowledge of basic math skills, problem solving skills, reconciliation and accounting skills, and employee benefits.

PHYSICAL DEMANDS:

  • Must be able to sit, bend, stoop, and work for up to eight hours at a computer terminal, generally with short breaks.
  • Visual acuity and eye-hand coordination to perform computer tasks.
  • Must be able to lift boxes or small equipment with or without assistance.

MENTAL DEMANDS:

  • Able to deal with department personnel to resolve problems and assure accuracy of financial information.
  • Ability to concentrate and work in often-stressful environments with ongoing interruptions.
  • Ability to research and analyze detailed data to resolve basic payroll concerns.
  • Ability to work on multiple assignments with ease and error free, under strict deadlines.
  • Strong judgment and communication skills in order to deal with associates of various ages, education/mental abilities and temperaments.
  • Ability to assess, interpret data and present information to individuals of various ages and levels of understanding.
