Job Title: Lead Outpatient Administrative Assistant
Location: Finger Lakes Region, NY

Job Summary:
The Lead Outpatient Administrative Assistant provides critical support to the Manager of the Outpatient Clinic, assisting in daily operations to ensure smooth and efficient functioning. This role includes managing clerical tasks, overseeing administrative staff, and ensuring compliance with organizational and regulatory standards, all while representing FLACRA’s mission, vision, and values.
Must-Have Qualifications:
High School Diploma or GED equivalent.
Valid NYS Driver’s License.
At least two years of clerical or administrative experience.
Strong communication skills and proficiency in Microsoft Office applications.
Nice-to-Have Qualifications:
Associate’s Degree or higher in a relevant field.
Experience working in a medical office or office management role.
Job Requirements:
Key Responsibilities:
Team and Department Support: Consistently uphold FLACRA’s values, vision, and brand pledge, offering proactive support to the Manager and clinic staff.
Workflow Management: Manage daily operations including answering phones, scheduling, checking in clients, and supporting clinic staff.
Staff Training & Oversight: Train and provide oversight to outpatient administrative assistants, fulfilling their duties in their absence.
Front-End Coordination: Ensure efficient client check-ins and address any immediate needs within the clinic.
Documentation & Communication: Produce and distribute meeting minutes, correspondence, and maintain proactive spreadsheets and agendas.
Clinic Organization: Collaborate with the outpatient director to support the clinic’s executive functioning and organization.
Compliance Audits: Conduct audits to ensure compliance with OASAS regulations and complete daily progress note reconciliations.
Task Delegation: Assist in delegating tasks to administrative assistants, ensuring timely reporting and completion of departmental goals.
Database Maintenance: Maintain accurate client information, including demographics, insurance, and billing, in the 10e11 and OASAS databases.
Inventory & Ordering: Track inventory and order medical testing supplies, PPE, and office equipment as needed.
Interagency Communication: Maintain positive relationships with provider agencies and represent the clinic professionally.
Bank Deposits & Record-Keeping: Complete daily bank deposits and organize paperwork, reports, and office materials.
Special Projects: Perform dictation, reception, filing, copying, and other special tasks as requested by the clinic director.
Other Duties: Support the clinic director and administrative coordinator with additional tasks as assigned, contributing to a positive, efficient clinic environment.
Skills & Experience:
Excellent written and verbal communication skills.
Ability to communicate effectively with diverse individuals and work collaboratively with internal teams and external providers.
Strong multitasking, organizational, and time-management skills.
Detail-oriented with the ability to meet deadlines in a fast-paced environment.
Proficiency in Microsoft Office applications and experience with electronic record-keeping (10e11, OASAS databases).
