University of Rochester Summer Session Program Manager in Rochester, New York

GENERAL PURPOSE:

Reporting to the Senior Associate Dean, the Summer Session Program Manager is responsible for strategic leadership of collegiate, adult, and prospective student summer programming at the Eastman School of Music.

The Summer Session Program Manager will develop and maintain strong connections with all academic departments and professional staff offices across the school and leverage these connections in the programming of a robust set of summer courses, curricula, programs, and initiatives. The Summer Session Program Manager is responsible for implementing academic programs for high school, collegiate and adult students; marketing and communication efforts to drive enrollment for summer programs; financial planning and budget oversight; and ensuring compliance with University policies and effective use of campus resources in the planning and execution of summer session activities.

Responsibilities include curriculum and program development in conjunction with academic departments; developing and implementing annual marketing strategies in partnership with the Communication office; advising Academic Affairs and Finance as to determining annual salaries, tuition, and fees for summer session; overseeing academic appointments for summer teaching; working with Admissions to ensure summer programming aligns with recruiting initiatives; coordinating with Residential Life for any on-campus housing needs for high-school aged students and adult learners; and coordinating with academic advisors and academic programs to ensure summer programming is meeting the needs and providing opportunities to Eastman students and the broader musical community.

JOB DUTIES AND RESPONSIBILITIES:

Curriculum and Program Development

  • In coordination with the University’s and Eastman’s strategic plans, and in collaboration with Eastman’s faculty, develop coursework and programming that aligns with the school’s academic mission.

  • Articulate a vision for summer session curriculum and programming that includes measurable goals.

  • Develop assessment plan(s) and establish a cadence for evaluating summer programming to ensure that all programs and activities are meeting their goals.

Financial Management

  • Oversee the Summer Session budget.

  • In collaboration with Sr. Associate Dean and Executive Director of Finance and Administration, create and implement policies related to compensation for summer instruction and tuition rates for non-credit bearing institutes, online and in-person workshops, and other programming in the summer.

  • In collaboration with Academic Affairs and Human Resources, oversee issuance of faculty contracts and other hiring for summer session instruction.

  • Oversee hiring, training, and supervision of a team of student workers during the summer term.

Marketing and Communications

  • In collaboration with Admissions and Communications, design and implement a comprehensive marketing and recruitment strategy for Summer Session.

  • Analyze the effectiveness of all marketing and communication campaigns and use data to inform future strategic decisions.

  • In collaboration with Communications, maintain Summer Session social media accounts to ensure consistent Eastman-branded social media messaging and strategies.

  • Working with the website team in Communications, oversee the regular maintenance of Summer Session website.

Leadership and Program Administration

  • Responsible for building relationships with key campus partners; work collaboratively with campus offices and departments to plan and execute summer session programming.

  • During the summer term, oversee the daily operation of all summer programming.

  • Organize and lead regular meetings with relevant staff to support summer operations, including Residential Life, Student Life, Concert Office, Facilities, Registrar, and Finance/HR; create and maintain a structure for timely communication and information flow to all campus stakeholders; work with campus partners to coordinate summer session logistics, including room assignments and the summer concert calendar.

  • Coordinate travel and hotel arrangements for visiting summer session instructors; support faculty review of applications and auditions for summer programs.

  • Coordinate with Residential Life for all on-campus housing needs both minor and adult students.

  • Ensure compliance with all University policies related to the health and safety of all minors who participate in summer programs.

  • Represent Summer Session on various Eastman and University-wide committees.

Future Planning and Recruitment

  • Work closely with Admissions to ensure summer programming aligns with collegiate recruitment strategies and goals; create and monitor business processes to ensure smooth flow of data between Summer Session and Admissions offices.

  • Collect and analyze data related to key performance metrics that will inform future growth and development of summer programming.

  • Monitor trends in summer programming; benchmark with peer institutions to help identify new opportunities for growth and change.

  • Participate in professional organizations and engage with professional development opportunities related to music school administration and summer programming.

Other Duties as Assigned

QUALIFICATIONS:

  • Bachelor’s degree in music or related field required.

  • Master’s degree in music, higher education, or related field preferred.

  • 1-2 years of experience in music, higher education, or related field required.

  • 3-5 years of experience in higher education or related field preferred.

General Skill: Required

  • Can efficiently and effectively manage multiple tasks while being detail-oriented and analytical.

  • Possesses the ability to read, analyze and interpret information from a variety of policy and procedure manuals.

  • Ability to solve practical problems, adapt or modify existing systems or procedures to accommodate new situations.

Technical Skills:

  • Strong skills with tools included in MS Office Suite required.

  • Experience or exposure to common admissions, curriculum management, and/or student information systems used in higher systems preferred.

Interpersonal Skills: Required

  • Excellent customer service, organizational and management skills;

  • ability to maintain the confidentiality of sensitive and FERPA protected data;

  • ability to work independently and as a member of a team; ability to establish priorities;

  • ability to assess the impact of changes across the institute and react accordingly;

  • experience training multiple constituencies;

  • ability to work effectively with faculty and staff including leading group sessions and/or giving presentations.

Pay Range

Pay Range: $51,810 - $72,534 Annually

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
