Robert Half Receptionist in Rochester, New York

Description We are offering a short term contract employment opportunity for a Receptionist in the non-profit industry, located in Rochester, New York. As a part of our team, you will be responsible for executing a variety of administrative tasks, including managing incoming calls, scheduling appointments, and maintaining accurate records. Your role will also involve customer interaction, requiring effective communication skills and a keen attention to detail.

Responsibilities:

• Serve as the first point of contact for clients, providing a positive and professional first impression of our organization

• Manage incoming calls, ensuring they are directed to the appropriate staff members

• Schedule appointments and meetings, maintaining an organized and up-to-date calendar

• Maintain accurate and secure records of customer interactions and transactions

• Handle various clerical tasks, such as filing and faxing documents

• Utilize Microsoft Office Suite, especially MS Word and MS Outlook, to efficiently complete tasks

• Ensure all customer inquiries are resolved in a timely and efficient manner

• Monitor customer accounts and take appropriate action when needed

• Maintain a clean and organized reception area to uphold the professional image of the organization. Requirements • Must have a strong understanding and practical experience with MS Word and MS Outlook.

• Excellent interpersonal and communication skills are essential for this role.

• Experience in a receptionist role, preferably within a non-profit organization, is highly desirable.

• The ability to multitask and prioritize tasks effectively is required.

• Strong organizational skills are crucial for managing appointments and schedules.

• The candidate must be capable of handling sensitive information with utmost confidentiality.

• A high level of professionalism and a positive attitude are expected at all times.

• Prior experience in customer service would be advantageous.

• The candidate should be able to work independently as well as part of a team.

• Proficiency in other general office tasks and software is a plus.

• The ability to handle stressful situations calmly and effectively is essential.

• Candidates should have excellent problem-solving skills.

• The ability to maintain a clean and organized work environment is necessary.
