Beyond TalentEdge Office Manager in ROCHESTER, New York
Beyond Talentedge has a temp to hire role for an Office Manager. In this role the candidate will oversee daily operations, manage schedules, and ensure effective communication within the team in a timely manner. Responsibilities include: Scheduling Meetings Use a shared calendar tool (like Google Calendar or Outlook) to keep track of all meetings. Ensure all members have access. Set reminders for yourself and attendees a few days before the meetings to confirm attendance and prepare materials. Template Creation: Draft a template for thank you letters that includes the donor's name, donation amount, and specific impact of their contribution. Personalize it with a message from the Executive Director. For each letter, fill in the template with the donor's information. Consider adding a personal touch, like a note about how their contribution will help your organization. Daily Mail Checks Set a specific time each day to check the mail (e.g., first thing in the morning or right after lunch). Keep a designated area for incoming mail. Sort it into categories (donations, bills, correspondence) to manage it effectively. Bank Deposits Determine a schedule for when deposits need to be made (daily, weekly, as needed). Prepare checks for deposit as they come in. Ensure all necessary documentation (like deposit slips) is ready. Information Gathering: Create a standard form or template for team members to fill out when requesting an outgoing order. Include fields for necessary details (items, quantities, recipient info). Once you have all the information, complete the necessary paperwork. Double-check for accuracy before filing. Communicate with the order recipient to confirm the pickup date and time. Ensure everyone involved is updated about the schedule. Internal Communication: Keep the internal team in the loop about the order status. Use email or a team collaboration tool for updates. Coordinating Board Meeting Calendar Create an annual calendar for board meetings and distribute it in advance. Prepare and send out a meeting agenda at least a week before the meeting, including discussion topics and materials needed. After meetings, send out minutes and action items to keep everyone accountable. Coordinating Payments from Events Keep a spreadsheet or use budgeting software to track expenses and payments from events. Clearly outline payment methods (invoicing, credit card, etc.) and deadlines to ensure timely transactions. Keep all receipts organized for accounting purposes. Organizing Networking Events Plan your four networking sessions for the year in advance. Choose dates that avoid major holidays or other events. Research venues early. Consider accessibility, capacity, and ambiance that fit your event's purpose. Create a visually appealing invitation using tools like Canva or Evite. Send them out at least three weeks in advance. Use an online form (like Google Forms) to collect RSVPs. Set a deadline for responses. Based on RSVPs, coordinate with a caterer or order food ahead of time. Confirm dietary restrictions if possible.
