Job Description Summary

The Department Assistant coordinates the overall administrative operations of the Art and Design department. This position supports the Chair and all faculty in the department.

Essential Functions

Provide regular ongoing support to the Art & Design Dept. Chair and faculty

  • Keep the Chair informed and included on all departmental updates.

  • Assist with determining the financial needs for the department for upcoming year.

  • Serve as the primary contact person for walk-ins, phone calls, and emails to general artinfo@naz.edu.

  • Coordinate and purchase necessary supplies for the department.

  • Track and reconcile journal entries charged to department accounts.

  • Reconcile and gather supporting documentation for online monthly credit card charges.

  • Run reports as required.

  • Attend faculty meetings, document minutes, and distribute them to the department after Chair approval.

  • Maintain and update department files.

  • Submit facilities requests for members of the department.

  • Assist faculty with the student Experiential Record Initiative by documenting student workers and students who win awards throughout the year.

  • In collaboration with internal and external constituents, manage the department website and ensure updated information is communicated to external webpages.

  • Create, develop, and manage content for department Facebook page.

  • Update and manage information streaming to hallway television.

Provide special services to members of the department

  • Coordinate syllabi and CVs at the start of each semester.

  • Manage communication of contracts with adjunct faculty.

  • Coordinate scheduling and required paperwork for comprehensive exams for Studio Art and Visual Communication Design.

  • Work with financial aid staff and professors for the Ed Lent scholarships.

  • Make flight, hotel and museum arrangements for Ed Lent Immersion trip each FA.

  • Collect the information needed to complete the NASAD Heads report each Jan.

  • Coordinate with Chair, administration, staff and faculty for NASAD accreditation visits.

  • Produce documents required for the NASAD accreditation visits.

  • Coordinate with Human Resources for hiring of figure models.

  • Serve as main point of contact for figure models post hire.

  • Assist Gallery Director and other faculty with coordinating meal comps, hotel accommodations and other travel expenses for visiting artists and lecturers as needed.

  • Assist Gallery Director with coordination of Student Art Show prize money, external funding, awards/certificates and artwork purchases.

  • Coordinate room scheduling and post schedules on the studio doors.

  • Submit key requests and provide computer codes for adjuncts, GA’s and new faculty.

  • Sign out locker keys to students.

  • Sign out digital cameras to students.

  • Coordinate and manage photography supplies.

Oversee department computer labs and other access-required rooms

  • Identify, troubleshoot, and allocate appropriate funds for faculty, staff, and student printing needs.

  • Monitor swipe card authorization every semester.

Assist the director of Saturday Art School

  • As needed with set-up and monitoring registration.

  • Resolve payment issues.

  • Create and submit rosters to SAS Director.

  • Purchase art supplies as requested by the SAS Director.

Provide administrative support and assistance to the Theatre & Dance Department

  • As assigned by the department chair.

    Required Education, Experience, Technology Applications and Skills

  • Associates Degree with at least 3 years of administrative experience

  • Exceptional organizational skills and be able to attend to and prioritize projects

  • Ability to successfully manage interpersonal working relationships. As appropriate, collaborate with staff in other units and divisions to achieve the goals of the college

  • Strong written and verbal communication skills

  • Handles confidential information sensitively and appropriately

  • Demonstrates commitment to working in a diverse workplace and to building a pluralistic community by promoting an increased understanding of individual differences and perspectives that will enable workforce cohesiveness

  • High emphasis placed on professionalism, efficiency and a positive attitude

  • Annual participation in professional development; focuses on acquiring, improving and applying technological and other skills that are essential to achieving the goals of the college

    Preferred Education, Experience, Technology Applications and Skills

  • 5-7 years in an active academic setting is preferred

    Supervisory Responsibilities

Supervise student workers

  • Manage student worker payroll

  • Assist in the hiring process for student workers

    Physical Requirements

  • Prolonged periods of sitting, extensive computer use, and occasional lifting or moving of light objects

  • Advanced level of Microsoft Suite
