University of Rochester Admitting Coordinator III in Rochester, New York

POSITION SUMMARY:

Using excellent customer service skills and exercising through knowledge of hospital policies and procedures as they relate to registration, financial screening and scheduling; Reviews OpTime cases for all elective (SDA/SD23/ASC/Direct/Surgery Admit) by utilizing department policies and procedures; creates hospital account records in EPIC, arranges for the admission of patients to inpatient and outpatient beds by utilizing a variety of procedural schedules and patient referrals; schedules and assigns accommodations and service locations; monitors and ensures that all functions are completed in an accurate, efficient and customer-oriented manner; works with physician’s offices, CATH lab, OR, and Admitting regarding discrepancies; accountable for meeting department standards for completion of missing registration items and insurance information.

This role may have the option to work a hybrid-remote schedule and communicate daily through virtual meetings.

SUPERVISION AND DIRECTION EXERCISED :

Responsible for monitoring own performance on assigned tasks; self-directed; must make complex decisions independently.

MACINES AND EQUIPMENT USED :

Standard office equipment including but not limited to: telephone, page system, pneumatic tube system, personal computers, EPIC, Outlook, printer, photo copier and fax machine.

ESSENTIAL DUTIES :

Referral Management - 70%:

  • Collects patient demographic and financial information for elective patients in an efficient, customer-oriented manner.

  • Identifies third-party payers, level of care, diagnosis and procedure codes for accuracy.

  • Works with provider offices, CATH lab and the OR to resolve discrepancies and obtain missing information.

  • Responsible for making sure cases, cosmetic packages, and research studies are set up correctly into our hospital information system.

  • Coordinates referral information with Financial Counseling, Lab and Outpatients Services, Strong Surgical Center, Sawgrass Surgical center, Admitting, and Strong West Surgical Center.

  • Reviews Medicare C-List to ensure proper Level of Care.

  • Communicates any known issues to appropriate Financial Counselor.

  • Registers facility-to-facility transfer encounters, adds Financial Counseling stop bill, and informs Financial Counselor of potential transfer back.

Scheduling - 70%:

  • Coordinates and reconciles multiple schedules (OR, Cath Lab, Radiology, GI, Strong Surgical Center, Sawgrass and Strong West surgical center) for all hospital admissions. OPRAs, and procedures.

  • Follows up with providers regarding cancellations and date changes.

  • Reviews case changes and updates timely.

  • Maintains department standard for being worked out at least 10 days in workqueues, excluding add-on cases to allow for timely completion by Financial Counselors.

Quality Management - 10%:

  • Monitors referral quality and independently coordinates required improvements with physicians’ offices or other areas of Strong Memorial to maintain quality standards. Identifies ways to reduce follow-up, repetitive or corrective work.

QUALIFICATIONS :

  • Associates Degree in related discipline (Finance, Registration and Admissions) or 3 years of related experience, preferably in a hospital setting, or an equivalent combination of education and experience.

  • Requires high degree of professionalism and motivation with excellent communication, customer service, computer skills, knowledge of medical terminology, and ability to type 45 words per minute.

  • Flexible to work weekends, other assigned hours/and or responsibilities as needed.

Pay Range

Pay Range: $18.33 - $24.76 Hourly

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
