University of Rochester Administrative Coordinator III in Rochester, New York

Responsibilities

General Purpose

Under the direction and guidance from department administration, perform secretarial and administrative support to multiple divisions in a fast paced environment with minimal supervision in support of the clinical, educational, and academic programs. Responsibilities include typing correspondence, reports, and other materials. Conduct information retrieval and data entry. Compile, organize, and maintain records of business transactions. Maintain moderately complex indexes and files. Open, sort and route incoming mail, answer correspondence and prepare outgoing mail. Maintain and update filing, inventory, mailing and database systems. Operate office machines such as photocopiers and scanners, voice mail systems and personal computers. Complete and mail bills, contracts, policies, invoices and checks. Compile, copy, sort, and file records of office activities. Assist with the planning and tasks for division events and fund raisers.

Responsibilities:

  • Provide Administrative Support (Multiple Divisions):

  • Type and distribute meeting minutes

  • Order supplies via Workday

  • Create divisional newsletters and calendars

  • Manage birthday list and prepare cards for signing

  • Assist with gathering and entering data

  • Create appropriate spreadsheets, databases, and templates to track and display data

  • Assist with booking travel and conference

  • Process employee expenses via Workday

  • Meeting and Event Coordination (Multiple Divisions):

  • Schedule in person and Zoom meetings. Scheduling may be complex and include multiple attendees and time zones.

  • Book conference rooms for in person meetings

  • Coordinate several events within the department. Events include employee appreciation, celebrations, patient and family support, remembrance ceremonies, fellow graduations, fundraiser, etc.

  • Order all food and supplies for the meetings and events.

  • Be available to set up/tear down

  • General Office Duties:

  • Process incoming and outgoing mail

  • Copying, scanning

  • Fill out misc. paperwork

  • Inventory of office supplies, coffee, water, etc.

  • Welcome and assit visitors

  • Back up support to other administrative members in the office

  • Other duties as assigned

Qualifications:

Required:

  • High School and 2 years of relevant experience required

  • Or equivalent combination of education and experience

Preferred:

  • Demonstrated ability to work independently

  • Strong customer relations and interpersonal skills.

  • Strong attention to detail and organizational skills.

  • Strong interpersonal and communication skills, including written communication.

  • Technical proficiency in Microsoft Office programs, eRecord, etc.

Pay Range

Pay Range: $18.65 - $26.11 Hourly

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
