We have an amazing opportunity for an Administrative Assistant / Government Relations Officer within our EAME Distribution team. In this role you will contribute significantly to our organization’s success through your expertise and proactive service. You will provide dedicated assistance to the General Manager, ensuring efficiency and effectiveness. Cultivate and maintain strong business relationships with internal and external stakeholders, fostering collaboration. EAME Distribution’s mission is to deliver superior customer experience, profitable market leadership and services growth through industry-best distribution performance. We provide governance and administration of Cat® dealers across the Middle East, Eurasia, Europe, and Africa.

Responsibilities:

  • Government Liaison : Serve as the primary point of contact to coordinate and support the company around all government relations with the various government departments and agencies in Saudi Arabia. This includes but is not limited to handling all communications, submissions, and follow-ups related to regulatory and compliance matters. Representing the company during government inspections, audits, or inquiries, and providing support on behalf of the company.

  • Visa and Work Permits : Manage the processing, renewal, and cancellation of visas and work permits for employees, ensuring compliance with Saudi labor laws and immigration regulations. Responding to any queries on visa, labor or passport matters.

  • Document Attestation and Legalization : Oversee the attestation and legalization of company documents, certificates, and other paperwork required by Saudi authorities.

  • License and Permit Management : Assistance in obtaining and renewing business licenses, permits, and approvals from relevant government bodies.

  • Compliance, Policy and Procedure Monitoring : Monitor regulatory changes and updates to ensure the company adheres to all applicable laws, regulations, and policies and advise on adjustments when necessary.

  • Government Payments and Transactions : Handle payments, fees, and financial transactions related to government services, ensuring accuracy and timeliness.

  • Record Keeping and Documentation : Maintain organized records and documentation related to government interactions, permits, licenses, and compliance activities (e.g., CR, Saudization, GOSI etc.).

  • Communication: Handle internal communications ensuring timely responses and maintaining professionalism. Internal announcements, publications, stakeholder communications.

  • Administrative support: Work closely with the General Manager, providing indispensable support. Understand priorities, anticipate needs, and proactively address challenges related to the legal entity.

  • Travel Arrangements: Book travel and accommodation and provide assistance with every step of the executive’s travel.

  • Events Management : Support the planning and execution of significant events. Ensure seamless logistics and a positive experience for attendees.

What you will have:

  • Education: Hold a bachelor’s degree in business, marketing, or technical fields.

  • Language Proficiency: Fluent in English and Arabic mandatory

  • MS Office: Intermediate Microsoft office skills, mainly in Excel and PowerPoint

  • Proven Experience : in a similar role, preferably 4-5 years as a Government Relations Officer

  • Calendar Management: Demonstrate proficiency in managing complex calendars. You’ll orchestrate schedules, prioritize appointments, and ensure optimal time utilization.

  • Business Acumen and Communication Skills: Exhibit excellent business acumen. Understand organizational dynamics, industry trends, and strategic priorities. Your insights contribute to informed decision-making.

  • Effective Communication : Communicate with clarity, precision, and professionalism. Whether drafting emails, preparing reports, or interacting with stakeholders, your communication skills are paramount.

  • Travel Coordination and Meeting Support: Familiarity with booking travel arrangements, including flights, accommodations, and ground transportation.

  • Meeting Excellence : Prepare meticulously for meetings, ensuring all necessary materials are in place. Your attention to detail contributes to successful interactions.
