The Enablement & Operations (E&O) Executive Office team seeks an experienced Enablement & Operations Business Administrator to support the Chief of Staff and the broader Executive Office organization.

We're seeking candidates that can effectively manage a demanding workload under time constraints with a calm, confident and positive attitude, has the ability to work independently, deal with ambiguity, and expects to deliver while acting as a representative of the executive and teams they support. Proficient communications skills, the ability to prioritize effectively, and handle multiple time-critical tasks simultaneously are critical. This role requires complex calendaring skills, operational excellence, and an effective use of data and business systems.

Responsibilities

  • Manages leaders’ calendars, meeting logistics, and delegation. Coordinates with peers and stakeholders on priorities, decisions, and information. Handles urgent and high-impact needs. Tracks actions and follows up. Stays calm and proactive.

  • Partner with lead E&O Executive Admin to support E&O Corporate Vice President (CVP) calendar and administrative duties as required.

  • Leads team experience, recruitment, onboarding/offboarding, and headcount management activities. Supports new hires and interns. Collaborates with Business Manager(s), Chief of Staff, and Finance on headcount figures and systems.

  • Manages, plans, and develops events. Takes responsibility for event outcomes and demonstrates executive presence. Leads a team of event planners if needed. Partners with management to understand event aspirations and target goals. Develops and leverages resources for reuse to drive efficiency. Contributes to development of workback schedule, promotion, and necessary checkpoints.

  • Manages expenses, supplies, and vendors. Tracks and reports budget and compliance. Resolves issues and escalates as needed. Partners with business management team and finance on budget planning and policies.

  • Works with executive leader(s) and Chiefs of Staff on annual Rhythm of the Business (ROB), including calendar and meeting schedule. Communicates ROB cadence and manages workloads. Advises on distribution plan for confidential communications. Implements and adjusts ROB with peers. Ensures team alignment with ROB. Includes E&O and MCAPS FY planning.

Qualifications

Required/Minimum Qualifications

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.

Additional or Preferred Qualifications

  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.

  • 2+ years experience serving as mentor to others.

  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $28.46 - $48.80 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $39.76 - $55.67 per hour.
