Title: Administrative Assistant 3
Location: Fully Remote but needs to work in Eastern Time Zone
Duration: 3 months (High Possibility for an extension based on budget)
Schedule: 40 hours a week, Mon - Fri, 40hr/week.
Rate: $25 to $30/ hr on W2

Minimum 5 years’ experience with ability to work well under pressure, managing tasks effectively within short time constraints.
Minimum 5 years’ experience with attention to detail, ensuring accuracy and thoroughness in all tasks.
Minimum 5 years’ experience with proficiency in MSFT productivity software, such as Excel, Word, Outlook and SharePoint.
Responsibilities
Calendar management with strong attention to accuracy, timeliness, conflict resolution, and alignment to the Senior Director’s priorities and commitments
Planning & coordinating end-to-end domestic and international travel plans including proactive anticipation of all logistics through expense reconciliation and submission
Scheduling and assisting with leadership rhythm of the business (ROB) in partnership with the Business Manager including staff meetings, events and offsites, meeting logistics, and material preparation
Strong collaboration and partnership skills with key stakeholders including, but not limited to HR, Finance and leadership team members
Providing team support for hiring and onboarding, generating purchase orders and special projects as requested
Alias management; processing and approving expense reports
Build and maintain good business relationships with counterpart administrative staff
Work as part of a strong admin team to manage the needs of the overall organization
Qualifications
Required:
5+ years of work experience as an administrative assistant/coordinator.
Proven, outstanding written and oral communication skills.
Excellent organizational and interpersonal skills are required.
Able to work well under pressure and within short time constraints.
Ability to prioritize work and complete projects on time, demonstrate drive and initiative, maintain confidentiality of information.
Ability to pay close attention to detail and able to monitor plans and schedules and react with appropriate urgency to situations and events that require quick response or turn around.
Proficiency with Microsoft productivity software including Outlook, Word, and Excel.
Preferable knowledge in internal applications including Employee Central, HR Insights Catalog, iCIMS, HeadTrax, MyOrder, IDWeb, and Concur expense and travel tool.
