Ottawa County Administrative Assistant in Port Clinton, Ohio

Job Summary The Administrative Assistant position serves as a backup for the switchboard duties that would include answering calls, directing visitors, and processing of incoming/outgoing department mail. Updates county telephone directory. Coordinates with county departments to prepare the annual report. Assists the Resource/Benefits Clerk with administrative duties for the county's health insurance plan and wellness activities. Assists with accounts receivable and payables. Reviews payroll and time sheets for accuracy. Coordinates sale of departments' obsolete items for auction. Assists in compiling official actions/resolutions and distribution of documents for Commissioner meetings. Serves as a backup and attends meetings in the absence of the Clerk. Schedules meetings for Commissioners and prepares proclamations. Assist County Administrator in any necessary fiscal responsibilities. Assists and/or coordinates preparation of annexation requests, road and ditch petitions. Essential Knowledge, Abilities and Skills, Education To be successful in this position, the incumbent must: • Be a high school graduate or equivalent • Have two (2) years experience in an office setting utilizing Excel and Word programs • Ability to formulate letters, proclamations and documents for signatures • Ability to read and follow Ohio Revised Code instructions for proper procedures • Ability to communicate effectively and interact with the general public and county officials; must have good customer service outlook • Ability to learn and use web-based systems for administration of various health insurance duties, sale of county property, and website updates • Be able to multi-task and work without daily direction • Have a valid Ohio drivers' license; and • Current or shall become a Notary Public Essential Functions of the Position 1. Assists with receptionist duties daily for lunch coverage. Responsible for coverage for meetings and scheduled/unscheduled days off. Assist the public and directing them to the appropriate office and coordination of incoming and outgoing mail. 2. Assist with scheduling Commissioners' meetings, conference rooms, vehicle usage and postings / notifications as necessary. 3. Assist Resource/Benefits Clerk with administrative functions of the employee health plan including enrollments, reconciling of monthly invoices, and appropriate deductions for employee and county premiums. 4. Assist with resolutions/official actions for Commissioners' meetings, obtaining appropriate signatures, and distribution of signed documents. 5. Assist Clerk with preparing weekly Commissioner journals. 6. Represent Clerk in her absence. Attend Commissioners' meetings; record and document minutes. 7. Indexing of previous years Commissioners' journals. 8. Assist and/or coordinate preparation of annexation requests, road, vacation/establishment petitions, ditch petitions, proclamations. 9. Coordinates with departments for sale of items on the internet auction site and coordinating with buyer and department for payment and removal of items. 10. Coordinates with county departments for preparation of the county annual report. 11. Maintain department filing system and scheduling of storage and destruction as per the guidelines of the Records Commission. 12. Responsible for computing/cross checking of payroll and invoicing departments for overtime reimbursements as necessary. 13. Assist with troubleshooting copiers and call for repairs. 14. Assist Clerk with accounts payable for processing invoices, creating new vendor accounts, creating purchase orders, and ensuring funds are available for such. 15. Responsible for updating appointment of members to various boards and committees. 16. Assist County Administrator in fiscal responsibilities as requested. 17. Other duties as assigned. Job Location
