ANNOUNCEMENT OF POSITION VACANCY

SUMMARY: Under the general supervision of the Accounts Payable Supervisor, the Accounts Payable Specialist is a dynamic member of the department, performing various accounts payable duties include processing Invoices, Purchase Orders, Fixed Assets, Purchasing Card and assisting with various assignments.

SOME OF THE THINGS THAT YOU WILL GET TO DO (this is just a small sampling of work variety):

  • Perform the daily Accounts Payable functions that include vendor processing, purchase orders, contracts and leases
  • Conduct all functions around the purchasing card process including reviewing receipts and back-up, process compliance, purchasing card management and policy monitoring, along with providing guidance to cardholders as needed
  • Review authorizations on invoices disbursements, and webforms; confirm accuracy on payment amounts, flagging entries for 1099 and accruing California sales tax where applicable
  • Review and process purchase orders and requests, including webforms
  • Verify batch postings, process payments and electronic filing. Appropriately handle checks, voided checks, and electronic payments
  • Ensure proper approvals, including internal control and verify segregation of duties
  • Prepare, update and review fixed asset additions, retirement and depreciation, and update information on a monthly and ad hoc basis
  • Complete credit applications on request

MINIMUM QUALIFICATIONS:

  • BS Degree in Accounting, Finance is preferred
  • Strong communication skills, including interpersonal and customer service skills (written and verbal)
  • Ability to interpret and apply policies and procedures to variety of situations
  • Ability to be resourceful and to take initiative
  • High attention to detail and accuracy
  • Proven knowledge of bookkeeping and accounting principles, practices, standards, laws and regulations
  • Ability to direct and supervise
  • Advanced computer skills on MS Office, accounting software and databases
  • A minimum of 1-3 years of successful experience

ABOUT US: As the largest employer of students on the Cal Poly Pomona campus, the Foundation offers valuable work experience and hands-on training to approximately 1,500 Cal Poly Pomona students each year. The Foundation offers positions in various fields; whether it is in the area of technology, science, retail, culinary arts, hospitality management, leadership or research grants, these student employees participate in Cal Poly Pomona's learn-by-doing philosophy and acquire practical skills in their designated field of study.

The Foundation also contributes operating support to nearly 1,100 Foundation and scholarship programs every year, including Bronco Athletics and the Norman J. Priest Scholarship. In addition, the Foundation administers grants and contracts, contributes to campus security, and supports several university publications. The Foundation contributes over $1 million annually to Cal Poly Pomona.
