We are looking for a Facilities Compliance Coordinator

Will be responsible for managing, tracking, and coordinating Corporate real estate permit renewals and utilities payments across client's LATAM locations. This role will serve as the single point of contact (POC) for regulatory compliance, utilities administration, and vendor coordination, ensuring alignment with the Legal area, Compliance, Real Estate, Finance, and CBRE FM teams.

By centralizing permit and utilities oversight, this position will help prevent operational disruptions, mitigate legal risks, and improve financial tracking across our client’s LATAM real estate portfolio.

Key Responsibilities:

Permit & Compliance Management

  • Track and manage permit expirations and renewals across LATAM locations.

  • Ensure timely compliance with local regulations to prevent legal and operational risks.

  • Maintain a permit database within client’s CMMS or tracking system.

Utilities Administration & Payment Processing

  • Oversee utility payments (electricity, water, gas, waste management, etc.) to avoid service disruptions.

  • Work closely with client’s Finance and Accounts Payable teams to ensure accurate and timely payments.

  • Identify opportunities for cost optimizations and efficiency improvements in utilities management.

Stakeholder Coordination & Vendor Management

  • Act as the liaison between client’s Legal, Compliance, Public Policy, Finance, and CBRE FM teams.

  • Engage with local authorities, regulatory agencies, and utility providers as needed.

  • Support site Facility Coordinators (FCs) with documentation requests, permit applications, and compliance processes.

  • Coordinate with vendors and landlords to resolve any billing discrepancies or service issues related to utilities and permits.

Process Standardization & Governance

  • Develop a structured workflow for permit renewals and utilities payments, aligning with client’s policies.

  • Ensure clear RACI (Responsible, Accountable, Consulted, Informed) ownership across stakeholders.

  • Regularly update stakeholders on permit status, risks, and upcoming renewals.

Administrative Support

  • Assist in budgeting and forecasting for permit-related expenses and utilities costs.

  • Support contract management and documentation for vendors, permits, and utilities agreements.

  • Help streamline administrative tasks to improve efficiency across LATAM operations.

  • Support other admin duties, as assigned.

Required Qualifications:

  • 3+ years of experience in Facilities Management, Real Estate Operations, Regulatory Compliance, Finance, or a related field.

  • Knowledge of permits, business licenses, utilities administration, and regulatory requirements in LATAM.

  • Strong project management, attention to detail and organizational skills to handle multiple deadlines.

  • Experience in stakeholder management, especially with legal, compliance, finance, and government agencies.

  • Familiarity with CMMS systems (or other technology tracking tools) for permit and utilities monitoring.

  • Bilingual (Spanish & English) required; Portuguese is a plus
