Your Opportunity + Impact The Project Coordinator must be an organized and proactive individual to assist with the planning, execution, and administration of projects within the Architecture, Engineering, and Construction (AEC) industry. The Project Coordinator will support the project management team by coordinating schedules, managing documentation, tracking project progress, and ensuring smooth communication between all stakeholders. This role is ideal for someone with strong multitasking abilities and a desire to grow in project management within the AEC sector. Key Responsibilities Project Administration and Coordination: Assist Project Managers in the creation and maintenance of project schedules, budgets, and resource plans. Organize and coordinate project meetings, including preparing agendas, taking meeting minutes, and tracking action items. Support the Project Manager in developing and maintaining project documentation, including contracts, reports, and status updates. Document Management: Maintain accurate and organized project documentation, ensuring timely updates and easy accessibility for team members. Track and manage project deliverables, ensuring they meet deadlines and comply with quality standards. Coordinate the submission and distribution of project reports, technical documents, and other communications. Communication and Stakeholder Management Support: Facilitate effective communication between project team members, clients, subcontractors, and other stakeholders. Assist in addressing client inquiries and concerns, escalating issues to the Project Manager as necessary. Facilitate meetings and discussions, capturing key decisions and action items. Project Set-up and Close-out: Support the development and maintenance of project schedules, tracking key milestones and deliverables. Coordinate project activities, ensuring alignment with project objectives and timelines. Support the integration of project processes, including assisting in the initiation, planning, execution, monitoring, and closing phases. Project Tracking and Reporting: Track project progress, milestones, and key performance indicators (KPIs), ensuring that projects remain on schedule and within scope. Prepare and distribute project status reports to stakeholders, highlighting potential risks and issues. Monitor and document change requests, ensuring that any changes to scope, schedule, or budget are properly evaluated and approved. Risk and Issue Management Support: Assist in identifying project risks and issues, working with the Project Manager to develop and implement mitigation strategies.
