The Administrative Assistant is a customer facing, on-site role, on the Global Health Services team in Colleague Total Rewards and Well-being (CTRW). The team is a dynamic, fast-paced environment and therefore the day-to-day responsibilities require seamless collaboration, across a wide range of stakeholders both inside and outside of American Express. As a key team member of medical services, this person will contribute to the overall goal of creating a culture of health for colleagues and their families at American Express.

The ideal candidate must be experienced in handling a wide range of administrative tasks and be able to work independently and confidently while collaborating across multiple teams. This position is an integral part of the team and will work closely with the leaders in maintaining clarity of schedule, key deliverables and managing competing priorities to effectively support the operation of the team. Building strong relationships, ability to manage and operate in a dynamic environment, and being resourceful will also be critical to success in this position.

How will you make an impact in this role?

  • Initial liaison and primary communication point person for leaders, colleagues and medical department

  • Provide customer facing support to the medical services team and assisting with setting up programs, confirming appointments, distributing required documents, maintaining patient waiting times, and troubleshooting system issues as needed.

  • Provide support to Nursing Staff to ensure great colleague experience.

  • Ability to identify colleagues’ needs and directing them to the nursing staff when appropriate

  • Support Healthy Living Team (Dietitian, Healthy Minds & Pharmacist) with appointment scheduling

  • Oversee department self-schedule system by building and maintaining staff schedules and services.

  • Educate and assist colleagues with appointment scheduling tool.

  • Follow company and department medical records retention policy

  • Utilize department electronic medical record system to enter, track visits and scan documents.

  • Manage receipt of records and legal regal request

  • Deliver exceptional and empathetic service to colleagues while ensuring privacy policy is maintained

  • Coordinating and proactively maintaining multiple calendars, including scheduling meetings on behalf of medical personnel while using a high level of integrity

  • Managing incoming phone calls and emails and prioritize based on need.

  • Collaborate with other Administrative Assistants to ensure priorities and procedures within the US Wellness Centers are aligned

  • Coordinate staff meetings and events, including room booking, catering, security etc.

  • AED monthly inspections, record keeping, and ensure compliance

  • Promote clinic events through company social platform

  • Ad hoc project work as directed by leadership

  • Manage Bills/Invoices/CPC concur payments; Ensure timely preparation and processing of expense reports and invoices

  • Manage the procurement of office supplies

Minimum Qualifications

  • 1-2 years’ experience as an administrative assistant or related field

  • High level of integrity required for handling sensitive and confidential information

  • Be able to effectively communicate with all levels of the organization and maintain a high level of confidentiality

  • Excellent communication skills, both written and oral; strong interpersonal and collaborating skills

  • Keen attention to detail

  • Strong interpersonal, relationship and networking skills to build and maintain effective professional relationships across all areas of the organization

  • Team player who is dependable and enthusiastic

  • Ability to work under pressure, meet deadlines and with strong attention to detail

  • Ability to work under minimal direction and manage multiple priorities

  • Strong PC skills in Outlook, Word, PowerPoint, DocuSign, Excel

  • Exceptional skills in administering multiple tasks seamlessly with excellent attention to detail

Preferred Qualifications

  • Prior office administration experience

  • Medical background

  • Experience with OneNote, Webex, Concur Expense, Qualtrics and other AMEX systems

Qualifications

Salary Range: $24.05 to $48.10 hourly bonus benefits
