Ricoh Americas Corporation Legal Office Receptionist in Philadelphia, Pennsylvania
POSITION PROFILE
The Senior Legal Receptionist & Switchboard provides exceptional service in a legal office environment by greeting and assisting all visitors, as well as handling incoming calls for the firm. This role includes performing various administrative duties and maintaining a high level of professionalism while supporting law partners, paralegals, and legal administrative assistants with value-added services.
Job Duties and Responsibilities
Greeting Visitors : Meets and greets all visitors and employees, providing a professional welcome and going above and beyond in service.
Meeting Coordination : Schedules meeting rooms, ensuring that each conference room is equipped with necessary supplies, beverages, video conferencing capabilities, etc., prior to client meetings.
Telephone Management : Answers all incoming calls by following firm and Ricoh phone etiquette expectations, ensuring professional communication.
Community Engagement : Participates in company and community service events or firm initiatives and philanthropies.
Clerical Duties :
Prepares documents, maintains files and calendars, schedules appointments and meetings.
Prepares legal documents and correspondence from draft or dictated text.
Manages calendars and assists in meeting deadlines.
Housekeeping Duties : Maintains an organized workspace and provides light housekeeping as needed.
Value-Added Services : Offers additional services as approved by the Site Manager/Supervisor.
Relationship Building : Builds professional relationships with clients and employees within the firm.
Firm Culture Education : Educates oneself about the firm’s culture, key personnel, and their roles to assimilate into the environment.
Visitor Security : Understands and maintains proper visitor and guest security procedures as established by Ricoh and the firm.
Staff Monitoring : Monitors the whereabouts of attorneys and staff to effectively manage calls and inquiries.
Concierge Services : Serves as a concierge for guests, clients, and staff, familiarizing oneself with the local area, including restaurants and coffee shops.
Lobby Maintenance : Ensures a professional appearance and cleanliness of the firm lobby.
Supply Management : Orders supplies as necessary and organizes supply rooms and closets.
Hospitality Support : Provides light hospitality services, including coffee, water, and ordering food or drinks when necessary.
Property Tracking : Assists with issuing and tracking customer property (e.g., ID badges, cellular phones, company directories).
Additional Duties : Performs other duties as assigned.
QUALIFICATIONS (Education, Experience, and Certifications) Typically Required:
High school diploma required.
Three (3) years of related business experience preferred, with a strong preference for administrative and switchboard experience in a legal environment.
Associate Degree or Bachelor’s degree preferred.
KNOWLEDGE, SKILLS, AND ABILITIES
Proficient in MS Office Suite, particularly Word and Excel.
Excellent customer service skills and attention to detail.
Ability to handle multiple tasks simultaneously.
Strong organizational and communication skills.
Professional competency.
Ability to work with technical equipment.
WORKING CONDITIONS, MENTAL AND PHYSICAL DEMANDS
Office environment with adequate lighting, ventilation, and a normal range of temperature and noise levels.
Diverse work assignments requiring interpretation and application of complex material, data, and instructions.
Some physical effort required; primarily sedentary but involves walking, standing, bending, reaching, and lifting/carrying objects weighing up to 50 lbs. (e.g., papers, books, files).
Moderate dexterity; regular application of basic skills (calculator, keyboard, hand tools, eye/hand coordination).
