The Hospital of the University of Pennsylvania is seeking a Hematopathology Department Laboratory Services Facilitator:

Summary:

  • The Hematopathology Department Laboratory Services Facilitator plays a pivotal role in ensuring the seamless functioning of the Hematopathology department, leveraging strong technical and clerical skills to support pathologists, residents, and fellows. The Hematopathology Department Laboratory Services Facilitator serves as the primary liaison and the face of the department, responsible for managing all communication originating from within and outside the health system. Autonomy, critical thinking, problem-solving abilities, impeccable attention to detail, efficiency, attentiveness, friendliness, and punctuality are essential attributes for success in this role.

Responsibilities:

  • Serve as a liaison between the department and external laboratories, vendors, and partners, managing all incoming communication from internal and external sources, including inquiries, requests, and collaborations.

  • Facilitate communication between laboratory staff, pathologists, clinicians, and other healthcare professionals to coordinate patient care and research initiatives.

  • Serve as the central point of contact for stakeholders outside the department, demonstrating professionalism, responsiveness, and effective communication.

  • Manage or triage all questions and requests, ensuring timely and appropriate responses while prioritizing critical matters.

  • Responsible for the training of residents, fellows and attendings on the Hematopathology service process and workflow for test ordering.

  • Provide timely updates and feedback to pathologists, clinicians, and laboratory staff, ensuring smooth coordination of activities and workflows.

  • Perform clerical tasks such as test ordering, specimen tracking, data entry, and report generation with meticulous attention to detail.

  • Maintain organized records of patient information, laboratory results, and research data.

  • Assist in the preparation of distribution of reports, presentations, and other documentation as needed.

  • Assist in the coordination of teaching conferences and other educational activities for fellows and residents.

  • Work autonomously to prioritize tasks, solve problems, and address challenges that arise within the Hematopathology department.

  • Exercise critical thinking skills to identify opportunities for process improvement and streamline workflows, contributing to the overall efficiency of laboratory operations.

  • Proactively anticipate and resolve issues related to specimen processing, data management, and communication to minimize disruptions and ensure continuity of services.

  • Assist in maintaining regulatory compliance with relevant accreditation standards, including CAP, CLIA, and HIPAA.

  • Participate in quality assurance activities, including data collection, analysis, and reporting.

  • Ensure adherence to institutional policies and procedures related to patient care, safety, and confidentiality.

  • Participate in audits and inspections to maintain accreditation and certification requirements.

  • Demonstrate efficiency in managing multiple responsibilities and deadlines within the Hematopathology department, consistently delivering high-quality results in a timely manner.

  • Implement strategies to optimize resource utilization and minimize waste, contributing to cost-effective and sustainable department practices.

  • Maintain punctuality in performing assigned tasks and attending meetings, respecting the time schedules of colleagues and stakeholders.

Education or Equivalent Experience:

  • Bachelor of Arts or Science (Required) in biology, medical technology, healthcare administration (Preferred)

  • Previous experience in a healthcare or laboratory setting (Preferred)
