To learn about Temple and all the available resources, go to: http://www.temple.edu/about/ Provides administrative support to the Dean of the Lewis Katz School of Medicine (LKSOM).  Performs highly responsible and complex Medical School-wide assignments inherent to the professional functioning of the administrative office. The Executive Assistant may also supervise other (administrative/reception) staff in the Dean's Office. Essential Functions: *Provides administrative support to the LKSOM Dean and is responsible for highly sensitive correspondence, administrative reports, and other documents. *Schedule meetings and appointments and provide calendar management as well as content and flow of information. Set up meetings for departmental chairpersons, associate/assistant deans and senior administrative personnel. Ensure confirmations and collect materials to ensure the dean is prepared for meetings. *Serve as the liaison for the Dean to all entities of Temple University, Temple University Lewis Katz School of Medicine and Temple University Health System as required. *Type, edit and/or compose confidential memoranda and letters.  Prepare and maintain electronic spreadsheets.  Proofread correspondence.  Perform a wide variety of complex typing functions from written sources and/or dictating equipment, screen incoming mail, make referrals and follow up on responses.  Compile background materials as needed for responses.  Route checks and/or other donations to appropriate department(s). *Screen telephone calls, answer inquiries with appropriate information assuring proper direction and resolve problems as appropriate.  Interact with all University departments in collecting information and handling matters related to the Office of the Dean. *Coordinate travel arrangements for the Dean in compliance with University and sponsor policies. *Coordinate the planning and hosting of dinners, luncheons, and other special functions as assigned by the Dean. *Purchase items as needed.  Use Pcard as needed for operations. *Serve as the coordinator for collecting information related to the AAMC, LMCE and other accrediting and regulatory entities to ensure the timely and accurate receipt of such data from departments. *Develop and maintain databases for numerous programs and projects, and prepare reports which track patterns and status, such as trends in: research expenditures, minority faculty appointments, student/academic performance, residency/match data, Saturday clinical hours, tuition and fees, and affiliated and related i sues. *Manage and maintain efficient office operations with regard to office equipment, supplies, and facility needs. *Coordinate and distribute employee service recognition letters, IA acknowledgement letters and other correspondences as requested. *Process reimbursements in Concur as requested. Process purchase requisitions and requests for payment. Assist in monitoring department budget and expenditures. Includes reconciliation of credit card, vendor payments and reimbursement requests using University software, for purchase order and invoice processing. Coordination of vendor setup for payments via collection of form W-9 from vendors. *Provides editorial support, proofreads and edits material for grammatical and factual accuracy, as requested. *Ensures effective coverage of the Dean's office in times of absence or WFH. *Ensures compliance with policies and procedures as required. *Keep time in Kronos, as requested. *Manage the Dean's Conference Room and coordinate requests/needs with IT. *Serve as the coordinator for collecting information related to the AAMC, LMCE and other accrediting and regulatory entities to ensure the timely and accurate receipt of such data from departments. *Develop and maintain databases for numerous programs and projects, and prepare reports which track patterns and status, such as trends in: research expenditures, minority faculty appointments, student/academic performance, residency/match data, Saturday clinical hours, tuition and fees, and affiliated and related issues. *Assist in monitoring department budget and expenditures to track and reconcile deans office 10 fund budget *Assist with the management of the Dean's speaking request protocol.  Process requests with Chief Marketing and Comms officer and chief of staff/AVDSI *Manage various lists for meetings and preparing agendas, reminders and collecting presentations etc for dean's meetings. *Kronos timekeeping *Maintain the Dean's CV, biosketch *Performs other related duties as assigned. Required Education & Experience: Bachelor's degree and a minimum of four years experience as an admiistrative secretary or administrative assistant. An equivalent combination of education and experience may be considered. Required Skills & Abilities: *Experience in office operations and secretarial functions. *Demonstrate strong work processing, spreadsheet, and database management experience. Preferred: *Familiarity with the academic medical center environment On-site This position requires a background check.
