Job Description Summary

Reporting to the Development and Finance Coordinator, the Development and Records Assistant will play an integral role in the development, finance, and communication activities of the Writers House.

You will help run the daily operations of a bustling literary arts and community organization with a global community, including but not limited to: updating and maintaining contact records in a FileMaker Pro database, Salesforce, and Emma, our email distribution platform; preparing donor and community communications, both mail and email; registration of featured visitors for payment; and managing data migration, updates, and exports.

You will receive training in numerous Penn systems including: Compass (Salesforce), FileMaker Pro, Concur, the Penn Marketplace, and BEN Financials. You will receive mentorship and training in fundraising practices, donor relations, financial management, communications, data management, and more, with additional opportunities for career development. This position is ideal for someone looking for an entry-level position in arts administration.

The Writers House in unlike any other place at Penn – it is a community-focused and creative center for writers from Penn, the Philadelphia region, and beyond. Each year we host over 150 programs, including readings, screenings, seminars, and dinners with visiting writers. We produce one of the most successful massive open online courses, our beloved ModPo, with tens of thousands of participants across the world. In all, Kelly Writers House has been home to thousands of readers, writers, and guests. All of our programs are free, and most are open to the public and available for streaming online. Job Location

This position will be assigned to work at the Kelly Writers House, located at 3805 Locust Walk, Philadelphia, PA 19104.

Pay and Hours

The hourly rate is a minimum of $18.00. This position is expected to work approximately three full days per week, with a maximum of 999 hours annually. The scheduled weekly hours for this position will be arranged with the supervisor and must be during business hours, but the precise schedule is flexible. This position is scheduled for year-round employment.

Qualifications

A high school diploma, or equivalent combination of education and experience, are required. Bachelor's degree strongly preferred. This position requires no prior experience in fundraising, communications, or data management, but preference will be given to candidates familiar with Microsoft Office. The ideal candidate will have an interest or background in literary arts, poetry, community outreach, creative arts, and/or education. Candidate must be comfortable working alongside and with undergraduate students.
