Job Summary The Department Manager plays a key role in ensuring continuous operational success within the Department and the Center for Teaching and Learning, completing initiatives that help to propel department growth, increase efficiency, and impact faculty and students. The ideal candidate for this role is. This role assists in reviewing the department's budget, human resources, scheduling, and implementing strategies and processes to increase productivity. This position will duly report to the Department Head and the Assistant Dean for Teaching and Learning. The Department Manager serves as an essential resource to faculty, professional staff, and students, representing the General Business and Sport Business Departments in college-wide operational initiatives and facilitating day-to-day functions of the departments. The role works closely with, and under the direction of the Department Head and the Assistant Dean for Teaching and Learning and interacts across various college and administrative units. The Department Manager also works with the Dean's Office in monitoring expenses and maintaining information related to faculty administration and course load. Essential Functions Financial Management Work with the department head on preparation of the annual budget. Complete travel arrangements for faculty and guest speakers. Maintain records related to external conferences, including faculty attendance and budgeting. Reconcile the department credit card transactions for each monthly cycle. Prepare check requests, cash reimbursements, and purchase orders. Human Resources Manage hiring process for all new faculty and adjunct appointments. Maintain databases for faculty candidates and faculty academic portfolios. Maintain records for faculty promotion and review process. Hiring for the Center for Innovation in Teaching and Learning (CITL), the Chapel Learning & Tutoring Center, and adjuncts supporting the interdisciplinary (INDS) initiative. Hiring and tracking of student workers each term working with the Department Heads/Department Managers in applicable departments to prepare and distribute offer letters and EPAFs, approving time sheets, ensure student workers are complying with time reporting and Tutoring Center policies, and address any time reporting issues. Meeting with student workers during the onboarding process and periodic follow up during the term. Scheduling Work with the Department Head and the Executive Director of Academic Planning and Operations to prepare department galleys. Assist the Department Head to manage faculty course load and schedules. Assign faculty to courses using SCT Banner. Generate and manipulate various reports using Hyperion and other University reporting systems. Additional Responsibilities Develop an understanding of university policies and procedures in order to assist with general questions. Manage daily activities within the department, such as ordering supplies and welcoming and assisting guests. Develop communications for and on behalf of the Department Head. Enforce and communicate policies to faculty. Manage and communicate confidential information as needed. Facilitate department-wide meetings. Infrequent evening and weekend assignments. - Provide other administrative support related to the operations of the CITL and Chapel Learning & Tutoring Center. Organize marketing and communications materials as needed and coordinate website updates for the CITL and Chapel Learning and Tutoring Center. Required Qualifications Bachelor's degree or Equivalent work experience 1-2 years of relevant professional experience Preferred Qualifications The ideal candidate is: Innovative Process-oriented Creative in proposing and welcoming new stra egies, programming, and activities to advance the department and the populations it serves Location Hybrid/Flexible Work Arrangement - Philadelphia, PA Additional Information This position is classified as exempt, grade J. Compensation for this grade ranges from $47,490 to $71,230 per year. Please note that the offered rate for this position typically aligns with the minimum to midrange of this grade, but it can vary based on the successful candidate's qualifications and experience, department budget, and an internal equity review.
